Events & Marketing Coordinator - Position Description
Role Purpose
Support the Head of Marketing and Marketing Manager in delivering consistent, high‑quality marketing activity across digital, brand, events, internal communications, and client engagement. This role ensures campaigns run smoothly, content is produced on time, and the firm’s brand is enhanced across all channels. We are open to full-time or part-time candidates as long as they are available for after-hours events.
Key Responsibilities
1. Event strategy, planning and delivery (primary focus)
- Coordinate the annual calendar of client and selected internal events across Sydney, Erina and Macquarie Park.
- Manage events end to end: with support from marketing supervisors, set objectives, audience, invitations, venue sourcing, suppliers, catering, registrations, budgets, run sheets, speaker coordination, collateral, signage and on-the-day delivery.
- Work with advisers and business leaders to define the purpose, target audience, key message and desired follow-up for each event.
- Own invitation and RSVP workflows, including save-the-dates, reminders, attendance lists, dietary requirements and guest communications.
- Coordinate presentations, speaker briefs, name badges, handouts, photography and other branded event materials.
- Manage webinars and hybrid events, including registration, rehearsal, technical coordination and attendee follow-up.
- Build strong working relationships with venues, caterers, production partners, photographers and other suppliers; obtain quotes and manage costs.
- Attend events and manage delivery on site, including occasionally early mornings or evenings as required.
- Complete post-event follow-up, reconcile final attendance, capture feedback and opportunities, and prepare a concise results summary.
2. Client-data quality project for events and mail-outs
- Support a structured clean-up of client, prospect and referral-partner contact data used for events, newsletters and targeted mail-outs.
- Work with advisers and administrative teams to validate contact details, remove duplicates, identify missing information and clarify contact ownership.
- Create useful audience segments by office, relationship, service, client type, interests and event relevance, based on agreed business rules.
- Maintain invitation, attendance and opt-out records so communications are accurate, appropriate and traceable.
- Develop simple data-entry standards, list templates and repeatable processes that keep data clean beyond the initial project.
- Coordinate with relevant technology, compliance and business teams to ensure data is handled securely and in line with Altus policies and privacy obligations.
- Track practical improvements such as reduced duplicates and bounces, improved record completeness and faster list preparation.
3. Event communications and content
- Draft event invitations, reminders, confirmations, speaker communications, follow-up emails and social posts in the Altus tone of voice.
- Build and schedule event email campaigns and registration forms, completing checks before release.
- Prepare briefs for designers and suppliers and adapt approved templates for event assets.
- Capture or coordinate photography and short-form content that extends the value of events across internal and external channels.
- Support selected marketing campaigns, newsletters, website updates and social content when event priorities allow.
4. Stakeholder, budget and marketing operations
- Maintain clear event plans, timelines, action lists and stakeholder updates; escalate risks early and follow through on commitments.
- Manage event budgets, quotes, invoices, purchase orders and supplier records, providing accurate cost tracking.
- Coordinate with P&C on agreed all-staff events and culture initiatives, while keeping client and growth-focused events as the role's priority.
- Maintain event templates, supplier contacts, checklists, brand assets and image libraries so delivery becomes easier and more consistent over time.
- Provide monthly reporting on upcoming activity, attendance, costs, outcomes, data-quality progress and improvement opportunities.
Capabilities and attributes

- Confident, calm and resourceful under pressure, particularly during live events and last-minute changes.
- Strong written and verbal communication skills, with a practical understanding of different client and stakeholder audiences.
- A proactive service mindset - comfortable following up, resolving issues and keeping busy stakeholders moving.
- Sound judgement, discretion and care when working with client information.
- Strong relationship-building skills and confidence working with advisers, executives, suppliers and guests.
- Commercial awareness, including disciplined budget management and focus on event outcomes rather than activity alone.
- Willingness to travel between offices and work outside standard hours when events require it.
Experience and qualifications
- Two to four years' experience in event coordination, marketing coordination, client engagement or a similar role.
- Demonstrated experience delivering business, client or professional events from planning through to follow-up.
- Experience working with CRM or contact databases, email marketing platforms, registration tools and Microsoft 365.
- Confidence working with spreadsheets and large contact lists; experience with data cleansing or segmentation is highly regarded.
- Experience in professional services or financial services is preferred but not essential.
- A tertiary qualification in marketing, communications, events, business or a related discipline is desirable.
