Customer Service, Substitutions, Chinese Salesperson & Receivables Officer

Hello Hello Plants is looking for reliable, organised and customer-focused people to join our team.

We have multiple positions available across our Customer Service, Substitutions and Receivals teams.

You will be the main point of contact for customers who already have an order with us.

Your responsibilities will include:

• Answering incoming customer calls regarding existing orders

• Providing clear and accurate information about orders and deliveries

• Helping customers resolve questions, issues and confusion

• Liaising with our internal teams to resolve order-related problems

• Updating customer and order information where required

• Ensuring customers receive a professional and helpful experience

We're looking for someone who is:

• Organised and able to manage multiple enquiries

• Comfortable using computers and internal systems

When a plant ordered by a customer is unavailable, you will help find the best possible replacement and communicate the options to the customer.

Your responsibilities will include:

• Identifying unavailable plants from customer orders

• Contacting customers to discuss suitable alternatives

• Recommending replacement plants based on the customer's original selection

• Working with our nursery and stock teams to identify available options

• Updating orders with agreed substitutions

• Ensuring customers are satisfied with the proposed replacement

We're looking for someone who is:

• Interested in plants and horticulture

• Good at understanding customer preferences

• Resourceful and able to find solutions

• Accurate and organised

You will work in our receivals area, helping process incoming stock and ensuring our inventory remains accurate and organised.

Your responsibilities will include:

• Receiving incoming plants and stock from suppliers

• Barcoding and processing received items

• Updating stock within our electronic systems

• Moving stock into the appropriate areas

• Removing and allocating stock as required

• Maintaining accurate stock records

• Assisting the surrounding teams with stock and operational tasks

• Keeping the receivals area organised and efficient

We're looking for someone who is:

• Reliable and physically capable of handling plants and stock

• Accurate and organised

• Comfortable using computers and electronic systems

• Able to work efficiently in a busy environment

• A team player who is willing to assist other departments when required

You will assist Chinese-speaking customers with their plant orders, enquiries and purchasing needs, while helping build strong relationships with our Chinese-speaking customer base.

Your responsibilities will include:

• Communicating with customers in Mandarin and English

• Responding to customer enquiries by phone, email and other communication channels

• Assisting customers with plant selection and product information

• Helping customers find suitable plants and alternatives

• Building and maintaining positive relationships with customers

• Following up with existing customers and identifying sales opportunities

• Working closely with our nursery, substitutions and dispatch teams to ensure orders are processed correctly

• Providing a professional and friendly customer experience

We're looking for someone who is:

• Fluent in Mandarin and English

• Confident and professional when speaking with customers

• Friendly, outgoing and comfortable with sales

• Good at building relationships with customers

• Organised and able to follow up on enquiries and orders

• Interested in plants, horticulture or willing to learn about our products

• Comfortable using computers and internal systems

• Motivated to achieve good customer and sales outcomes

Previous experience in sales, customer service, account management or the nursery/horticulture industry is an advantage, but not essential for the right person.
