About the Role
Do you enjoy variety in your day, love meeting new people, and take pride in leading by example? We are looking for a warm, experienced, and professional Senior Receptionist to be the welcoming face of our Nelson Bay clinic.

This is a part time position working three to four days per week, where you will play a key role in creating a positive first impression for our patients while taking ownership of the smooth day-to-day operation of the clinic's front desk.

Key Responsibilities:

• Deliver warm, welcoming, and exceptional customer service to our patients and visitors.

• Manage appointment bookings, doctor schedules, and procedures with care and efficiency to maintain optimal clinic flow.

• Act as the senior point of escalation for non-routine patient enquiries, complaints, and complex billing questions.

• Process patient billing and documentation with strict accuracy, including standard Medicare, DVA, private payments, and surgical MBS items.

• Provide day-to-day guidance, technical support, and mentoring to junior reception staff and new team members.

• Oversee pathology tracking and recall management to ensure results are promptly followed up and finalised.

• Maintain a well-organized, fully stocked, and professional reception and waiting area.

What We’re Looking For:

• 1–2+ years of experience in a medical reception or healthcare administration role (skin cancer or GP clinic experience is a strong plus).

• Experience with Best Practice software is highly advantageous.

• Solid working knowledge of Medicare billing processes, including surgical items and DVA.

• Excellent verbal and written communication skills with a confident, empathetic approach.

• High-level administrative and problem-solving skills, with the ability to multitask and maintain attention to detail under pressure.

• A proactive, team-oriented mindset, flexibility, and a positive, can-do attitude.
