About us:
Campbelltown Catholic Club is a large social and recreational Club located in Southwest Sydney. The Club has over 50, 000 members and provides an extensive range of business, social and recreational facilities including: Dedicated function and event space, multiple restaurants and bars, 18-hole Golf Course, gym & pool facilities, a Rydge’s Hotel and The CUBE Convention & Entertainment Centre.
The Opportunity:
We’re looking for a highly organised and detail-focused Conference & Events Coordinator to support the successful delivery of our confirmed functions, conferences and events. In this role, you’ll take ownership of the coordination and administration process, ensuring event requirements are clearly understood, accurately documented and communicated to the right teams.
You’ll work closely with clients to confirm event details and requirements, while collaborating with internal teams to ensure all information is accurate, complete and up to date. From managing event documentation through to coordinating a thorough and timely handover to Conference and Event Operations, you’ll help ensure every event is set up for a seamless delivery.
Key Responsibilities:
Administration and coordination of allocated confirmed events – Coordinate confirmed events from booking through to operational handover, ensuring requirements are managed accurately and on time.
Client communication during the event-planning process – Maintain regular communication with clients, responding to enquiries, providing updates and confirming event details.
Accurate event orders, run sheets and supporting documentation – Prepare and maintain accurate event documentation, ensuring all key information is clearly captured and communicated.
Coordination of menus, room layouts, timings, technology and service requirements – Coordinate key event details including menus, room setups, timings, technology and service requirements.
Accurate and timely operational handovers – Ensure Conference and Event Operations receive a complete and timely handover with all relevant event information and documentation.
Maintenance of client, booking and event information – Keep client, booking and event information accurate, current and up to date across relevant systems.
Consistent event-planning and administration standards – Follow established processes and standards to ensure a consistent and professional approach to event planning and administration.
To be successful in this role, you will have:
Excellent verbal and written communication skills.
A minimum of three years' experience in event coordination, with a strong focus on operational delivery.
Experience in the hospitality or events industry, with hands-on involvement in event setup and execution.
Strong problem-solving skills and the ability to make quick decisions in a fast-paced environment.
Excellent time management and the ability to multitask and meet deadlines.
Attention to detail and an ability to oversee the logistics of large events.
Professional presentation and strong customer service skills.
The ability to work autonomously and as part of a collaborative team.
Availability to work outside standard business hours, including evenings and weekends, where required for client meetings, venue inspections or event planning.
