Accounts Payable & Payroll Administrator

Specific Freight is a leading International Freight Forwarding company based in Tullamarine and is seeking an experienced Accounts Payable & Payroll Administrator to join our Melbourne Head Office.

Our Accounts Payable & Payroll Administrator is responsible for managing the payroll process, accounts payable function, and supporting HR functions to ensure accurate compensation, efficient financial processing, and effective employee lifecycle management. This role requires a high level of confidentiality, attention to detail, and knowledge of payroll systems and HR practices.

·         Mon - Fri 8.30am - 5.00pm with 1 hour lunch.

·         100% on-site role.

Reporting directly to our Commercial Manager, you will play a key role within our Accounts and Administration team, supporting payroll, finance and HR functions across the business.

Payroll Duties:

·         Accurately process end-to-end payroll on a fortnightly basis using external payroll provider ADP.

·         Accurately process and reconcile payroll-related obligations including PAYG, payroll tax and WorkCover reporting.

·         Maintain payroll records and ensure compliance with tax, superannuation, and employment legislation.

·         Maintain and update payroll systems and employee records.

·         Resolve payroll issues and respond to employee inquiries.

·         Liaise with payroll provider ADP and finance teams to ensure timely and accurate payments.

·         Handle cost splits data entry and payment allocation.

·         Handle monthly and EOFY reconciliations.

HR Administration:

·         Assist with recruitment processes including job postings, application screening, and interview scheduling.

·         Support onboarding and offboarding processes, including contracts, inductions, and exit documentation.

·         Coordinate training sessions and maintain training records.

·         Maintain and update HR policies and procedures while ensuring compliance across the business.

·         Ensure compliance with Fair Work and other employment regulations.

·         Generate reports on payroll, leave, and HR metrics as required.

·         Maintain confidentiality and data integrity at all times.

Accounts Duties:

• Oversee the processing of Accounts Payable invoices, General Ledger coding, and creditor reconciliations.

• Manage daily banking activities to ensure timely payment cycles to creditors.

• Preparation and processing of payments using our banking platform.

• General day-to-day accounting and administrative tasks.

Qualifications and skills:

·         Certificate IV or Diploma in Finance, Business Administration, or a related field.

·         Min 2-3 years’ experience in a similar Payroll, Accounts Payable and HR role, preferably within the Freight Forwarding Industry.

·         Knowledge of Australian employment law and payroll regulations.

·         Proficiency in portal / cloud-based payroll software (ADP preferred).

·         Proficiency in Microsoft Excel and Outlook.

·         Strong attention to detail, organizational and problem-solving skills.

·         Excellent communication and interpersonal abilities.

·         Cargowise experience preferred.
