Functions & Marketing Coordinator

Club Musgrave | Permanent Part-Time | Southport

Club Musgrave is looking for an organised, creative and confident Functions & Marketing Coordinator to join our team.

This is a varied, hands-on role combining function coordination, marketing, reception duties and member engagement. We are looking for someone with experience in both hospitality and marketing who enjoys working with people and can confidently move between customer service, administration, functions and creative marketing tasks.

• Tuesday: 9:00am – 5:00pm

• Wednesday: 12:00pm – 9:00pm

• Thursday: 9:00am – 5:00pm

• Friday: 9:00am – 5:00pm

• Saturday: 9:30am – 5:00pm

Some flexibility is required around functions and events. At times, particularly on Saturdays, your shift may change to an afternoon or evening shift depending on scheduled functions.

Wednesday evenings also include hosting our weekly Trivia Night, so confidence speaking on a microphone and engaging with a crowd is important.

You will assist in managing functions from the initial enquiry through to the event itself, including:

• Responding to function enquiries

• Conducting venue inspections

• Communicating with clients throughout the booking process

• Coordinating function requirements with relevant departments

• Preparing function information and documentation

• Confirming guest numbers, room layouts, catering and other requirements

• Communicating function details to the operational team

• Assisting with function setup and presentation where required

• Being present for selected functions and events

• Following up with clients and providing a high standard of customer service

Working closely with management, you will assist with the day-to-day marketing of Club Musgrave, including:

• Creating and scheduling social media content

• Promoting events, entertainment, dining and club promotions

• Creating promotional material and digital content

• Updating marketing collateral throughout the venue

• Assisting with promotional campaigns

• Taking photos and videos for social media

• Developing ideas to increase member engagement and visitation

• Maintaining consistent club branding

• Assisting with website and digital updates

• Promoting our function spaces and packages

• Ensuring upcoming promotions and events are advertised on time

We are looking for someone who can bring ideas to the table and take ownership of their work, rather than simply waiting for a list of tasks.

You will also assist with reception duties, including:

• Greeting members and guests

• Answering and directing phone calls

• Responding to general enquiries

• Assisting with membership enquiries

• Providing information about club facilities, promotions, functions and events

• General administration and data entry

We are looking for someone with a combination of hospitality and marketing experience.

You will ideally have:

• Previous hospitality, club, hotel, function or similar experience

• Previous marketing, social media or content creation experience

• Strong customer service skills

• Excellent written and verbal communication

• Strong organisation and attention to detail

• Confidence communicating with function clients

• Confidence using social media platforms

• Good computer and administration skills

• The ability to manage multiple priorities and deadlines

• A proactive attitude and willingness to take ownership

• Confidence speaking publicly and hosting Trivia

• Flexibility around working hours when functions or events require it

Experience using Canva and social media scheduling or marketing platforms will be highly regarded.

This role is ideal for someone who enjoys variety. One day you may be creating social media content, the next showing a client through our function spaces, preparing for an upcoming event, assisting at reception or hosting Trivia.
