International Wholesale Operations & Accounts Coordinator

Permanent part-time | $30 per hour | On-site in Corio, Victoria

porter green is seeking an organised and adaptable International Wholesale Operations & Accounts Coordinator to support our growing Australian and international wholesale business.

This is a permanent part-time, on-site role based at our office and warehouse in Corio, Victoria. The current hours are Monday to Friday, 9:00am–2:00pm; however, the hours and working days are flexible and will be discussed with shortlisted candidates.

About the role

This is a varied, hands-on position combining wholesale operations, accounts administration, customer service, project coordination and digital sales-channel management.

You will help ensure our Australian and international wholesale operations run smoothly while providing responsive support to customers, sales representatives and porter green partners worldwide.

Our international business currently services markets including the USA, Canada, Europe and Dubai, with further growth planned.

Key responsibilities

The role includes, but is not limited to:

• Preparing and issuing customer invoices
• Processing and recording payments
• Managing accounts administration and maintaining accurate records
• Processing wholesale orders and supporting order fulfilment
• Providing professional customer service to Australian and international customers
• Communicating internally with porter green partners and team members worldwide
• Communicating externally with customers, retailers, sales representatives and other business partners
• Responding to customer, retailer and sales-agent enquiries
• Creating, updating and managing line sheets
• Creating and maintaining Excel spreadsheets, reports and business records
• Setting up and maintaining customer accounts, products and information across multiple platforms
• Assisting with the setup and ongoing management of websites, invoicing software, online marketplaces and sales channels
• Working across platforms including Shopify, Faire, Brandboom, MarketTime, Meet Ribbon, THE ICONIC, Freedom Marketplace and others
• Maintaining accurate pricing, product, inventory and customer information
• Completing and maintaining daily, weekly and ongoing checklists and task lists for relevant projects and operational requirements
• Monitoring project progress and following up on outstanding tasks
• Using Canva to update and manage lookbooks, catalogues, templates, blog posts, pitch decks, email marketing templates and other brand materials
• Assisting with the preparation, scheduling and monitoring of email marketing campaigns
• Supporting the day-to-day administration of our Australian and international operations
• Assisting with additional operational, marketing and administrative tasks as the business continues to grow

About you

We are looking for someone who is:

• Highly organised, reliable and detail-oriented
• Comfortable working within a close-knit, female-led family business
• Confident managing invoices, payments and administrative records
• Comfortable creating and maintaining spreadsheets in Microsoft Excel
• Confident working in Canva and updating existing branded materials and templates
• Comfortable learning and working across multiple digital platforms
• An effective written and verbal communicator
• Able to communicate professionally with internal and external stakeholders worldwide
• Capable of managing checklists, deadlines and multiple ongoing projects
• Able to provide friendly and professional customer service
• Capable of prioritising tasks and working independently
• Adaptable and comfortable working in a growing business
• Confident communicating with customers across different countries and time zones

Previous experience in wholesale operations, accounts administration, e-commerce, customer service, digital marketing or marketplace management would be highly regarded. Experience with any of the platforms listed above is beneficial but not essential, provided you are confident learning new systems.
