About the role
We are seeking a dedicated and professional Audiology Receptionist to join the team at Alison Hennessy Audiology in Mitcham, Victoria. This is a part-time position working Mondays and Wednesdays from 8:30 am to 5:00 pm and plays a vital role in ensuring our audiology practice operates smoothly and provides an exceptional experience for every client who walks through our doors. As the first point of contact for our clients, you will be instrumental in creating a welcoming environment whilst supporting the clinical team to deliver outstanding audiology services.
Key responsibilities
Greeting clients upon arrival and ensuring they feel supported on their visit to our clinic
Scheduling and appointments and managing client recalls using our practice management system, ensuring the schedules run smoothly during a busy clinic day
Handling incoming telephone calls, texts and emails professionally, answering client enquiries and directing queries appropriately
Maintaining accurate and up-to-date client records in accordance with privacy legislation
Managing billing, invoicing and processing payments using appropriate systems including Medicare, the Hearing Services Program, DVA and WorkCover
Ordering and maintaining supplies and equipment as required to support daily operations
Undertaking administrative tasks including data entry, filing and digisiting of client records
Providing information to clients regarding services, procedures and pricing in a clear and professional manner
Performing basic hearing aid troubleshooting such as checking batteries, changing wax filters, domes or tubing. Assisting clients with hearing aid Bluetooth connectivity issues both face to face and over the phone. Providing batteries and other hearing aid consumables to clients as appropriate. Training will be provided to the successful candidate
What you'll bring to the role
The optimal candidate is a reliable, level-headed professional with experience working in a busy and varied allied health practice. You are a person who can remain cool and calm. You need to have an enquiring mind, be willing to learn and be confident to ask questions if you need further information.
What we're looking for
Proven experience working in a healthcare reception or medical administration environment, ideally in audiology or a related allied health setting
Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse client groups
Strong organisational abilities and proficiency in managing multiple tasks and priorities simultaneously
Experience using practice management software and electronic patient record systems
Proficiency with Microsoft Office applications, particularly Word and Excel
A professional and courteous demeanor with a genuine commitment to providing outstanding customer service
Attention to detail and accuracy in documentation and record-keeping
Understanding of privacy legislation including the Privacy Act 1988 (Cth) and relevant health records laws
Ability to work flexibly as part of a small team and adapt to the needs of a busy audiology practice
