Our continued growth has created an exciting opportunity for an organized and proactive Pre-Construction Contract Administrator to join our Pre-Construction team at our South Melbourne head office.

This is an excellent opportunity for someone with experience in contract administration, estimating, project coordination or pre-construction who enjoys working in a fast-paced environment and wants to play a key role in the successful delivery of projects before construction begins.

About the Role

Reporting to the Preconstruction Manager, you will be responsible for coordinating and administering multiple projects throughout the pre-construction phase. You will be the central point of contact for contract administration, client liaison, permit coordination and project handover activities, ensuring every project is fully prepared for a successful transition into construction.

This role offers exposure to senior leadership, clients, consultants and authorities, making it an excellent career pathway into delivery sided contract administration.

Key Responsibilities

• Coordinate administration across multiple pre-construction projects.
• Assist with quotations and tender administration.
• Prepare meeting agendas, attend meetings and distribute accurate minutes.
• Coordinate Tender Handover and Workflow Meetings.
• Monitor and follow up pre-construction checklists to ensure project milestones are achieved.
• Assist with permit applications and liaise with councils and relevant authorities regarding outstanding approvals, including CMPs and TMPs.
• Prepare supporting documentation including cash flows, early works scopes and construction programs.
• Maintain tender registers and prepare monthly reports on current, submitted and prospective tenders.
• Follow up submitted tenders and maintain communication with internal and external stakeholders.
• Assist with contract reviews and tender documentation.
• Support Directors with business development and tender presentations.
• Coordinate communication between internal teams, consultants, authorities and clients.
• Provide administrative support to the Pre-Construction team and assist with project design meetings during early works.

About You

You are highly organised, enjoy coordinating multiple priorities and thrive in a collaborative environment. You possess exceptional attention to detail and take pride in delivering high-quality work.

You will ideally have:

• Minimum 2 years' experience in Contract Administration, Estimating, Project Coordination or a similar construction role.
• Experience within commercial construction or pre-construction.
• Exposure to permits, approvals, tender administration or client liaison.
• Strong administration and document management skills.
• Excellent written and verbal communication.
• Outstanding organisational and time management skills.
• Ability to build strong relationships with clients, consultants and internal stakeholders.
• A proactive attitude with the ability to work independently and as part of a team.
• High proficiency in Microsoft Office, particularly Word, Excel and Outlook.
