Experienced Medical Administrator - Permanent Full Time

About the role

Flinders Fertility is seeking an Experienced Medical Administrator to join our team in a permanent full-time position based in Glenelg, SA. This is a key role within our medical administration function, responsible for ensuring the smooth and efficient operation of our clinic whilst maintaining the highest standards of patient care and confidentiality. You will be integral to supporting our clinical and administrative teams, directly contributing to the delivery of exceptional fertility services to our patients.

You will be working Monday to Friday with some occasional weekends, you must be able to work across a range of shifts (7.15am-3.15pm, 8am-4pm. 8.30am-4.30pm, 9am - 5pm)

What you'll be doing

• Managing patient scheduling and appointment bookings, ensuring optimal clinic workflow and minimal waiting times

• Maintaining and updating patient medical records in accordance with privacy legislation and clinic protocols

• Coordinating communication between clinical staff, patients and external healthcare providers

• Handling patient enquiries and providing administrative support with professionalism and empathy

• Processing billing to Medicare

• Assisting with the organisation of clinic resources, equipment and supplies

• Supporting the clinical team with data entry, report preparation and general administrative duties

• Ensuring compliance with relevant healthcare regulations, privacy standards and clinic policies

• Contributing to the maintenance of a welcoming and professional clinic environment

• Answering phone calls

What we're looking for

• Proven experience working as a medical administrator in a healthcare setting, preferably within a fertility clinic or similar specialist medical practice

• Strong knowledge of medical terminology, healthcare administration processes and patient confidentiality requirements

• Proficiency with medical administration software systems and general computer applications

• Excellent organisational skills with the ability to manage multiple tasks and priorities effectively

• Exceptional communication skills, both written and verbal, with the ability to interact professionally with patients, clinicians and colleagues

• Attention to detail and accuracy when managing patient records and sensitive documentation

• Understanding of privacy legislation including the Privacy Act and health information management standards

• A compassionate and patient-centred approach to patient interactions

• Flexibility and adaptability within a dynamic healthcare environment

• Relevant qualifications or certifications in medical administration or healthcare administration are highly valued
