Fleet Coordinator

We’re a fast-growing allied health business on a mission to connect people to healthier lives — and we’re looking for an organised and proactive Fleet Coordinator to manage the day-to-day administration and coordination of our national vehicle fleet together with external fleet management companies. Reporting to the CFO, you’ll play a critical role in ensuring our fleet remains safe, compliant, cost-effective and available to support operational requirements across Australia. This permanent part-time role (0.5FTE / 20h per week) offers an exciting opportunity to take ownership of fleet processes while working closely with internal stakeholders, external fleet management providers and service partners.

What you’ll be doing: 

• Managing the fleet mailbox and coordinating day-to-day fleet activities.  
• Monitoring fleet availability to ensure operational requirements are met.  
• Maintaining accurate fleet records, asset registers and fleet management systems.  
• Coordinating vehicle orders, replacements, disposals and new vehicle deliveries.  
• Liaising with external fleet management companies and service providers.  
• Administering fuel cards and reporting on fleet-related expenditure.  
• Managing accident reporting processes and coordinating with accident management providers.  
• Processing infringements and overseeing vehicle logbook requirements.  
• Supporting budgeting, audits, compliance reviews and fleet reporting activities.  
• Developing and maintaining fleet policies and procedures. 

What we’re looking for: 

• Previous experience working in a similar position with exposure to multiple stakeholders. 
• Experience using fleet management systems and maintaining fleet records is not essential but highly regarded.
• Strong administrative, organisational and time management skills.  
• Excellent attention to detail and ability to manage multiple priorities. 
• Strong communication and stakeholder management skills. 
• A proactive, solutions-focused approach with a commitment to continuous improvement. 
• Confidence working with budgets, reporting and compliance requirements.
