About the RoleWe are seeking a motivated and organised Project Administrator to join our national practice and support the successful delivery of our landscape architecture, urban design and multidisciplinary projects.
Working closely with Project Managers and the Business operations team, you will play an important role in ensuring projects are accurately established, maintained and supported through our project management systems.
This is an ideal opportunity for someone with 2–3 years’ experience working within a design practice who understands the importance of strong project administration, systems accuracy and supporting project teams to deliver successful outcomes.
The role offers flexibility and the opportunity to work across a diverse range of projects within a collaborative and creative environment.
Key ResponsibilitiesCoordinate and administer the setup of new projects across our national practice and associated businessesEstablish projects within project management systems, ensuring accurate project information, budgets, team allocations and key milestones are capturedSupport Project Managers with the development and maintenance of project programs and schedulesAssist with the preparation and setup of invoicing schedules and project financial administrationMaintain project records, documentation and reporting requirementsAssist with project workflows, systems improvements and process consistency across studiosSupport Project Managers with ongoing project administration requirementsCoordinate project information between teams to ensure accuracy and consistencyProvide general administrative support to improve project delivery efficiency
About YouYou will be a proactive and detail-oriented individual who enjoys working with project teams and improving the way things are organised and delivered.
You will have:2–3 years’ experience in a project administration role within a landscape architecture, architecture, urban design, engineering or similar design practiceExperience supporting Project Managers with project setup and administrationUnderstanding of project management systems and workflowsExperience administering project budgets, programs, invoicing schedules and project documentationStrong attention to detail and the ability to manage multiple prioritiesExcellent communication and organisational skillsA willingness to learn, contribute and take ownership of tasksConfidence working independently while collaborating with a national team
Experience with project management systems such as Total Synergy, Deltek, Projectworks, Smartsheet or similar platforms would be highly regarded.
