Executive Assistant

Our client is an independent entity established to facilitate the formation of treaties between the State of Victoria and the First Peoples in Victoria. Their work is firmly anchored in Aboriginal culture, traditions, and legal frameworks. Guided by a collective panel deeply committed to Aboriginal self-determination, they engage with a diverse array of stakeholders, including the State of Victoria, the First Peoples’ Assembly, and Traditional Owners throughout Victoria.

The Role
We are seeking an experienced and highly organised Executive Assistant to support two senior C-Suite level members. In this key role, you’ll work closely with the members and wider team, ensuring the members time is well-managed, priorities are balanced, and engagements run smoothly.
  

Your responsibilities will include:

• Manage and maintain the C-Suite members diary, inbox, and daily schedule.
• Coordinate meetings, including scheduling, agendas, minute-taking, and tracking actions.
• Organise catering and travel arrangements.
• Prepare reports, presentations, business papers, and correspondence.
• Governance support 
• Liaise with internal teams and external stakeholders, managing communications with professionalism and confidentiality.
• Maintain accurate records and support management reporting aligned to strategic objectives.
• Assist with general administration and ad hoc tasks as required by the members and wider team.

You will bring:

• Strong previous experience as an Executive Assistant.
• Strong attention to detail and excellent time management skills.
• Exceptional written and verbal communication abilities.
• Advanced Microsoft Office skills.
• The ability to work autonomously while contributing positively to a wider team.
• An appreciation for working within culturally sensitive and values-driven environments.

Experience within First Nations organisations, not-for-profit organisations or Victorian Government environments will be highly regarded.
