South East Community Links (SECL) is a leading community services organisation delivering a broad range of programs across South East Melbourne. Over recent years, SECL has invested in its data and insights capability, establishing data collection infrastructure, developing real-time reporting tools, and reinforcing an evidence-based approach across its programs.

The Data and Reporting function sits at the heart of this work, connecting program data to meaningful insights for internal decision-making, funder reporting, advocacy, and continuous improvement. The function oversees data governance, compliance with funding obligations, and the management of SECL’s content and reporting systems.

To support the continued growth and maturity of this work, SECL is seeking a Data and Reporting Coordinator to take on a portfolio of operational responsibilities, working closely with and reporting to the Impact and Reporting Lead This is a fixed term role which offers a genuine opportunity to contribute to meaningful community outcomes through producing high-quality insights and reporting across both our Springvale and Dandenong site.

Role Overview

The Data and Reporting Coordinator will play a key operational role within SECL’s Data and Reporting function, taking responsibility for CMS management, data requests and monitoring and compliance.

Working independently within a clear framework of accountability, this role requires a person who is curious, detail-oriented, and solutions-focused. The successful candidate will bring a genuine interest in data systems and technology, an understanding of the community services context, and the initiative to continuously improve how information is managed and communicated.

This role is for someone who actively looks for ways to improve systems to make them work better. The Data and Reporting Coordinator will be expected to identify problems before they escalate, propose practical solutions, and engage confidently with both data infrastructure and stakeholder relationships.

Key Responsibilities

CMS Management

• Maintain and update SECL’s client management systems, ensuring information is accurate, current, and consistently presented across internal and external platforms.
• Coordinate content workflows including reviewing and publishing materials in line with SECL’s document standards.
• Work with program leads to gather reporting insights and ensure timely publication.
• Monitor system performance and usability, proactively identifying and escalating issues.
• Support the development and documentation of CMS processes, templates, and naming standards.
• Identify opportunities to improve how content is structured and managed.

Data Requests and Reporting

• Manage and respond to internal and external data requests, ensuring accuracy, timeliness, and appropriate data handling.
• Prepare regular and ad hoc reports for program teams, leadership, and funders, drawing on SECL’s data infrastructure including ODK Central, Power BI, and related tools.
• Maintain a clear register of reporting obligations and data requests, tracking status and deadlines.
• Support the Impact and Reporting Lead in developing and refining reporting templates and data visualisations.
• Ensure data outputs are presented clearly for a range of audiences, including non-technical stakeholders.
• Apply sound data literacy practices including quality checking, consistent formatting, and accurate interpretation of findings.

Monitoring and Compliance

• Monitor SECL’s compliance with funding agreement reporting requirements, flagging upcoming obligations and ensuring submissions are completed accurately and on time.
• Maintain up-to-date records of reporting schedules, outputs submitted, and correspondence with funders or government bodies.
• Support internal audit and review processes by preparing documentation and data summaries.
• Identify gaps or risks in compliance processes and recommend corrective actions to the Impact and Reporting Lead.
• Contribute to the development and maintenance of work instructions, protocols, and standards documents related to reporting and compliance.
• Promote SECL’s values and contribute to a culturally safe and inclusive work environment.

Key skills required to undertake the role

Essential:

• Tertiary qualification in data analysis (or equivalent)
• Minimum 3 years experience in managing data systems, content platforms, or reporting workflows in a community services, government, or similar context.
• Strong attention to detail and a methodical approach to data review, documentation, and quality assurance.
• Proven capacity to work independently, manage competing priorities, and meet deadlines without close supervision
• Strong problem-solving skills with the ability to identify practical, evidence-based solutions to operational challenges.
• Ability to communicate clearly with both technical and non-technical stakeholders, translating data and system outputs into accessible insights.
• A forward-thinking mindset and genuine interest in using data and technology to improve processes and outcomes.
• High proficiency in Microsoft Office Suite including Excel, Word, and Outlook; ability to learn new platforms quickly.
• Understanding of data governance, compliance, or accountability frameworks in a not-for-profit or funded services context.

Highly Regarded:

• Familiarity with reporting and visualisation tools such as Power BI or Tableau, including an understanding of how data structures feed into dashboards and reports.
• Experience managing information in a Client Management System or similar platform.
• Knowledge of funding agreement obligations and the reporting requirements common in the community services sector.

The successful candidate will be required to undertake Safety Screening checks prior to commencement of employment including a national police record check and valid Working with Children Check.
