Document Controller

The Opportunity

Our client operates an underground hard rock mine and is looking to add an experienced Document Controller to their team. This is an office-based role supporting the site’s engineering, projects and operations teams, with occasional travel to the mine for handovers, audits and stakeholder meetings. You’ll be the go-to person for keeping documentation accurate, current and easy to find across the business.

What the Role Entails

• Manage the receipt, control, distribution and storage of engineering, project and operational documentation in line with company procedures.
• Maintain document control registers, drawing registers and correspondence logs, ensuring accuracy and version control at all times.
• Administer the electronic document management system (EDMS), including uploading, coding, routing for review and approval, and archiving of documents.
• Coordinate document transmittals, review cycles and approvals with engineering, projects, contractors and site personnel.
• Ensure documents are formatted, numbered and filed in accordance with company and project numbering and naming conventions.
• Support the preparation and issue of documentation for tenders, contracts and site handovers.
• Monitor document status and follow up outstanding reviews and approvals to keep projects and work packages on track.
• Assist with periodic audits of document control systems and records to ensure compliance with company and regulatory requirements.
• Provide document control support, guidance and training to project and site teams as required.
• Travel to site periodically to align document control practices between the office and the underground mine operation.

What You Will Need

• Proven experience as a Document Controller, ideally within mining, resources or heavy industry/construction.
• Experience using electronic document management systems
• Strong attention to detail and a methodical approach to managing high volumes of documentation.
• Sound computer skills, including strong proficiency with Microsoft Office (Word, Excel, Outlook).
• Excellent organisational and time management skills, with the ability to manage competing priorities.
• Good communication skills, comfortable liaising with engineers, project teams, contractors and site personnel.
• A genuine safety-first mindset and interest in doing things better each time.
• A current National Police Clearance (or willingness to obtain one).
• Ability to pass a pre-employment medical and drug and alcohol screen (required for occasional site travel).
