Project Administrator – Construction

South East Melbourne | Full-time Permanent Position | Immediate Start

An established construction business in South East Melbourne is seeking an experienced Project Administrator to support its busy project team. This is an excellent opportunity for a highly organised administrator who understands the construction environment and enjoys keeping projects, documentation and stakeholders on track.

To be considered for this position, you must have previous administration experience within the construction industry.

Working closely with Project Managers, Site Managers and subcontractors, your responsibilities will include:

• Providing day-to-day administrative support across multiple construction projects
• Preparing and maintaining project documentation, registers and reports
• Coordinating contracts, purchase orders, variations and progress claims
• Managing invoices and assisting with project cost tracking
• Liaising with clients, suppliers, subcontractors and internal teams
• Coordinating permits, inductions, compliance documents and site records
• Maintaining accurate information across project management systems
• Scheduling meetings, preparing minutes and following up on actions
• Supporting tender submissions and project handovers
• Ensuring documentation is completed accurately and within required timeframes

To be successful in this role, you will have:

• Previous Project Administration or Construction Administration experience
• Demonstrated experience working within the construction industry – essential
• A strong understanding of construction terminology, processes and project documentation
• Excellent organisation and time-management skills
• Strong attention to detail and the ability to manage competing priorities
• Confident communication skills when dealing with clients, subcontractors and project teams
• Proficiency in Microsoft Office, particularly Word, Excel and Outlook
• Experience using construction or project management software will be highly regarded
• A proactive, reliable and team-focused approach
