About the role
We are looking for a proactive, technically minded and customer-focused Service Coordinator to join our clients growing team.
This is a key role responsible for coordinating service operations, supporting field technicians and delivering an exceptional customer experience across the fume extraction industry.
We are looking for a self-starter and forward thinker who is highly organised, confident coordinating technical trades and capable of leading a team. You will be the central point of contact between customers, technicians, administration and management, ensuring service works are scheduled efficiently, compliance requirements are maintained and customers receive professional, timely service. You will be comfortable talking with technicians and tradespeople on technical matters, while also being able to build positive relationships with customers, site managers and other stakeholders.

About the RoleAs Service Coordinator, you will play a critical role in managing the day-to-day service function, including:
Coordinating and scheduling technicians and monthly service works.
Managing the annual service calendar and maintaining an orderly workflow according to priorities.
Quoting testing, repair and remedial works required to bring assets back into compliance.
Diagnosing technical issues and determining appropriate solutions across a range of service and maintenance requirements.
Acting as the central point of contact for customers, technicians, administration and management.
Providing clear and timely communication regarding service status, requirements and outcomes.
Overseeing technician activities and performance to ensure quality, safety and compliance requirements are met.
Maintaining NSW service compliance with ISO 17025, ISO 45001 and ISO 9001 requirements.
Maintaining client portal compliance and ensuring all required information is accurate and up to date.
Producing accurate, detailed and timely service reports, including monthly reporting to management.
Providing administration with all necessary information accurately and within required timeframes.
Managing the administration, resources and workflow associated with the service department.
Building strong, positive relationships with clients and proactively communicating service requirements and recommendations.
Identifying opportunities to promote service sales and contribute to revenue, budgets and targets.
Conducting toolbox meetings with technicians.
Supporting technicians and customers during field visits where required.
Ensuring all work is performed in accordance with company policies, procedures, relevant standards and legislative requirements.
Promoting a safe, secure and healthy workplace culture.
You will be a confident and capable coordinator who can balance technical knowledge, customer service, team leadership and commercial outcomes.
Ideally, you will have:
Proven experience coordinating service or maintenance operations within HVAC, fume extraction or a similar technical industry.
Extensive experience with technical maintenance, troubleshooting and repairs.
Previous experience coordinating and supporting a team of tradespeople or technicians.
Strong technical and problem-solving capabilities.
Experience preparing accurate estimates and quotations.
Excellent written and verbal communication skills.
Excellent people skills, with the ability to communicate confidently and respectfully with people from all walks of life and at all levels.
Confidence coordinating and communicating with tradespeople and technicians.
A professional, approachable and solutions-focused attitude.
Strong customer service and client relationship management skills.
Exceptional organisational skills and attention to detail.
The ability to multitask, prioritise workloads and work effectively in a fast-paced environment.
The ability to work autonomously while also being a strong team contributor.
A proactive approach with the confidence to identify issues and take ownership of solutions.
A willingness to learn and develop your technical and industry knowledge with motivation to develop your skills and responsibilities as the business continues to grow.
A current Australian driver's licence.
Availability to travel regionally and interstate from time to time.
Due to the nature of the work and customer sites, applicants must:
Be an Australian citizen.
Be able to obtain a satisfactory Police Clearance.
Be eligible to obtain the required clearances to work at schools and Defence sites.
Be able to successfully complete a standard medical assessment.
