We are seeking a highly organised, professional and compassionate Medical Secretary to join our specialist psychiatry practice on a casual basis, working three days per week (Monday to Wednesday, 9:00am–5:00pm). Seeking an immediate start to provide practical training.
This is a unique opportunity to become the sole administrative support for a Consultant Psychiatrist. As the only member of the administrative team, you will play a vital role in ensuring the smooth day-to-day operation of the practice while providing exceptional service to patients and referrers.
The successful candidate will be proactive, intuitive and able to work autonomously, maintaining the highest standards of professionalism, confidentiality and patient care.
Key ResponsibilitiesProvide comprehensive administrative support to the Consultant Psychiatrist.
Answer and manage incoming telephone calls professionally and efficiently.
Welcome and assist patients with warmth, empathy and professionalism.
Schedule, confirm and manage appointments and clinician diaries.
Process Medicare, WorkCover and other third-party billing and administrative requirements.
Prepare, format and proofread medical correspondence, reports and referrals.
Liaise with GPs, specialists, allied health professionals, insurers and other stakeholders.
Maintain accurate electronic medical records and ensure documentation is completed promptly.
Manage patient enquiries while maintaining strict confidentiality and privacy.
Assist with invoicing, receipting and general financial administration.
Support practice compliance, accreditation requirements and quality improvement activities.
Ensure the practice operates efficiently while contributing to a welcoming, patient-centred environment.
You are a confident and experienced medical administrator who thrives working independently. You possess excellent organisational skills, exceptional attention to detail and the ability to anticipate the needs of the practice and Consultant Psychiatrist.
You will demonstrate:
Previous experience as a Medical Secretary or Medical Receptionist within a specialist or general medical practice.
Experience with Medicare and WorkCover processes (highly desirable).
Excellent written and verbal communication skills.
Outstanding organisational and time management abilities.
A professional, compassionate and patient-focused approach.
The ability to multitask and prioritise in a busy clinical environment.
High levels of discretion with an unwavering commitment to patient privacy and confidentiality.
The ability to work independently with minimal supervision while using initiative and sound judgement.
A commitment to delivering exceptional service and supporting high-quality patient care.
Advanced working knowledge of the Microsoft Office Suite, including Microsoft Teams, Word, Excel and PowerPoint.
Experience using medical practice software (preferred).
Basic to intermediate knowledge of clinical software such as Xestro, Genie or Best Practice.
Basic to intermediate knowledge of financial software such as Xero or similar accounting programs.
Strong computer literacy and confidence learning new systems.
Exceptional accuracy and attention to detail.
