About the role

We are seeking a Branch Hire Coordinator to join our team at our Clayton South, Victoria location. This is a full-time position that plays a vital role in managing our fleet operations and ensuring seamless coordination of hire activities. As Branch Hire Coordinator, you will be the operational backbone of our branch, responsible for coordinating generator hires, managing customer interactions, and ensuring our fleet is efficiently deployed to meet customer demands. This role is essential to maintaining our reputation for reliability and service excellence within the power generation industry.

Key responsibilities

• Coordinate the scheduling and deployment of generators and equipment across customer sites, ensuring timely delivery and collection

• Process hire requests, prepare quotes, and manage customer bookings through our management systems

• Liaise with customers to confirm hire requirements, delivery details, technical specifications and special instructions

• Monitor fleet availability and utilisation, optimising equipment allocation to maximise efficiency and revenue

• Arrange transportation logistics, including coordinating with delivery drivers and managing delivery schedules

• Conduct basic equipment inspections and ensure generators are in optimal condition prior to hire deployment

• Maintain accurate records of all hires, customer information, equipment maintenance and fleet movements

• Handle customer enquiries, provide technical guidance on equipment and troubleshoot any issues that arise during hire periods

• Process invoicing and billing documentation, ensuring accuracy and timeliness of customer accounts

• Communicate with other branch coordinators and head office to share information and coordinate multi-site hires

• Contribute to achieving branch hire targets and maintaining excellent customer satisfaction levels

What we're looking for

• Strong organisational and time management skills, with the ability to manage multiple bookings and priorities simultaneously

• Proven experience in fleet management, hire coordination, logistics or a similar operational role within the industry

• Excellent communication skills, both written and verbal, with the ability to interact professionally with customers and internal teams

• Proficiency with Microsoft Office applications

• Knowledge of generator equipment, power solutions or similar technical products is advantageous

• A customer-focused mindset with a commitment to delivering exceptional service and problem-solving

• Attention to detail and accuracy in processing bookings, documentation and financial records

• Physical capability to inspect equipment and assist with basic equipment handling as required

• A valid Australian driver's licence and willingness to travel between customer sites occasionally

• Reliability, integrity and a strong work ethic with the ability to work effectively both independently and as part of a team
