Project Administrator – Behind The Meter (BTM)

About the Role 

As we continue to scale, we are seeking a hands-on Project Administrator to join our North Sydney team and play a pivotal role in our journey. This role will allow you to develop your skills within a fast-paced, growth focused company, providing timely and effective general administrative support to the engineering team.

This is an excellent opportunity for someone who enjoys working in a fast-paced environment, has exceptional organisational skills and is interested in renewable energy infrastructure.

Key responsibilities

• Managing and maintaining cost control spreadsheets and the raising of POs and coordinating with accounts on weekly invoice processing
• Establishing and maintaining connections and relationships with contractors, suppliers and local council contacts.
• Preparing team meeting schedule, maintain record and internal monthly reports.
• Assisting in obtaining quotes and the tendering process of major material and contractor suppliers.
• Manage delivery schedules for equipment and being the point of contact with logistics partners.
• Support Project Managers on preparing DA and construction certificates with various councils.
• Maintaining team safety training register and cooperating with WHSE team.
• Tracking construction contract milestones and reviewing milestone payments
• Prepare meeting minutes. 
• Manage document transmittals. 
• Other administrative functions as required within the team. 

About You 

You'll be a proactive administrator who enjoys coordinating multiple priorities while maintaining a high level of accuracy.

• Background in economics, finance, accounting or business administration
• Good understanding of budget management, tendering, contract administration and procurement  
• Understanding of the council planning and DA application process highly desirable but not essential
• Interest in the Australian renewable energy industry and its market operations 
• Strong verbal and written communication skills 
• Proficiency with MS Office suite 
• Highly self-motivated, organised “doer” able to manage multiple projects and priorities
