Installation Coordinator

About the Role

Kingdom Climate Solutions is looking for a friendly, organised and reliable Installation Coordinator to join our growing team in Ballarat.

This is a varied coordination role where you’ll help keep our installation jobs running smoothly from the time they are handed over by sales through to completion.

You’ll work closely with our customers, sales team, suppliers and installation contractors to make sure jobs are organised, materials are ready, schedules are kept on track and any issues are followed up promptly.

No two days will be exactly the same, so this role would suit someone who enjoys being organised, communicating with people and solving problems as they come up.

What You’ll Be Doing

• Coordinating and maintaining the installation schedule

• Booking and allocating jobs to our installation contractors

• Ordering units, equipment and materials for upcoming jobs

• Checking sales handovers are complete before installation

• Following up any missing job information

• Communicating with customers before and during their installation

• Keeping contractors updated with job information and schedule changes

• Checking jobs have been completed and required paperwork and photos have been received

• Helping ensure installation quality meets Kingdom Climate Solutions standards

• Organising return visits where something needs to be completed, adjusted or rectified

• Helping coordinate warranty and service issues

• Handling customer questions or concerns and helping organise a solution

• Following up outstanding customer payments where required

• Checking contractor invoices against completed jobs

• Assisting with job documentation, certificates and close-out

• Occasionally attending a local job site where something needs to be checked or clarified

About You

We’re looking for someone who is:

• Organised and good at keeping track of multiple tasks

• Friendly and confident communicating with customers and tradespeople

• Comfortable following things up when needed

• Reliable and able to work independently

• Calm when plans change

• Good at problem solving

• Detail focused without overcomplicating things

• Comfortable using computers and job management systems

• Happy working as part of a growing team

• Willing to take ownership and follow tasks through to completion

Experience in administration, scheduling, construction, trades, service coordination or a similar role would be helpful, but HVAC and plumbing experience is not essential.

Training will be provided on our systems, products and processes.
