Client Services & Booking Scheduler - Experienced Only

Top Dog Pest Control & Property Inspections is a trusted, locally owned and family-operated business servicing the Gold Coast and Brisbane region for over 10 years. We're looking for an experienced, highly organised Administration & Booking Scheduler to join our small, hardworking team - full-time, in our Gold Coast office.

This is a genuinely busy, fast-paced role, and it is not entry-level. You'll be the first point of contact for our clients and the person keeping the daily schedule for our field technicians running smoothly. We need someone who already knows how to schedule a small team, follow a structured process, and keep pace from day one.

What you'll be doing:

• Scheduling and coordinating bookings for pest management, termite inspection and building and pest inspection services

• Managing daily job schedules for a small team of field technicians, including travel times, job durations, cancellations and urgent requests

• Adjusting the schedule throughout the day as required, and ensuring bookings are correct before they're assigned

• Managing bookings, confirmations and follow-up communication

• Updating and maintaining accurate customer records and job details in our systems

• Identifying missing information and resolving it proactively

• Handling emails, invoicing and general administrative tasks

• Answering phone, SMS and email enquiries professionally

• Following our established procedures and checklists consistently, and double-checking your own work

What you'll need (all essential):

• Proven experience scheduling or rostering a small team (trades, field services, healthcare, logistics, or similar)

• Exceptional attention to detail

• Ability to follow structured processes and checklists consistently

• Strong initiative - comfortable solving problems and making decisions without constant direction

• Excellent written and verbal communication

• Comfortable with cloud-based systems; booking or job management software experience is a strong advantage

• Permanent work rights in Australia
