About the role
Norwest Private Hospital | Full-Time | $30–$35 per hour
Sydney Advanced Orthopaedics is a large, established and busy specialist orthopaedic practice seeking an experienced Medical Receptionist to join our team.
Our practice manages a significant volume of patient appointments each day, together with a consistently high volume of incoming calls, emails, enquiries, referrals and administrative requests. We are looking for someone who enjoys a busy working environment, is highly organised and can confidently manage competing priorities while maintaining excellent patient service.
You will work alongside an experienced reception and administration team supporting our specialists and patients across a busy clinical environment.
The position is based primarily at Norwest Private Hospital, Bella Vista, with occasional work required at our Macquarie University Hospital practice.
About the roleThis is a varied and fast-paced medical reception position where you will play an important role in the day-to-day running of the practice.
You will be one of the key points of contact for our patients and will work closely with colleagues, specialists and other healthcare professionals to ensure our clinics run efficiently.
Your day will involve managing a high volume of telephone calls and emails, coordinating a large volume of patient appointments, referrals and bookings, assisting patients at reception and completing the associated administration.
The ability to remain organised, professional and approachable during particularly busy periods is essential.
Key responsibilitiesProviding a high standard of service to patients both face-to-face and over the telephone
Managing a high volume of incoming calls, emails, enquiries and appointment requests
Booking and coordinating a large volume of patient appointments across multiple specialist calendars
Managing referrals, clinical files, SMS reminders and patient administration
Coordinating surgical bookings and associated documentation
Checking patients in and out during clinic sessions
Processing consultation invoicing and receipting, including private billing, Medicare, DVA, WorkCover and other third-party insurers
Completing daily financial reconciliation
Managing written, telephone and electronic correspondence
Liaising with specialists, hospitals, healthcare professionals, insurers and other external providers
Coordinating WorkCover correspondence, consultation requests and surgery requests
Assisting with the setup and smooth running of consulting rooms and clinics
Working collaboratively with the reception and administration team to manage the day-to-day demands of the practice
Assisting with other practice administration as required
Being available on occasions when clinics run later than scheduled
You will ideally have previous experience in a busy medical reception environment and be comfortable working in a practice where there is a steady flow of patients, calls, emails and administrative work throughout the day.
You will be someone who can prioritise effectively, communicate confidently and maintain accuracy even when several things require your attention at once.
We are looking for:
2–3 years' previous medical reception experience, ideally within a specialist practice
Excellent communication and telephone skills
Strong organisational and time-management skills
Excellent attention to detail
Confidence managing a high volume of calls, emails and appointments
The ability to multitask and prioritise competing demands
A professional, warm and friendly manner
The ability to remain calm and efficient during busy clinic periods
Experience with medical billing, Medicare, DVA and/or WorkCover
An understanding of patient confidentiality and discretion
The ability to work effectively both independently and as part of a team
Arabic language skills would be a great advantage, but are not essential
Experience with Xestro would also be highly regarded.

LocationThe position will be primarily based at Norwest Private Hospital in Bella Vista.
Occasional work may also be required at our rooms at Macquarie University Hospital, so applicants should be comfortable working across both locations when needed.
