ABOUT THE ROLE
Reporting to the Auction Services Manager, our Auction Services Officer role (based in Jandakot WA) keeps our auction administration accurate, current and on time — from vendor and asset setup through to sale readiness, redlists and post-sale financial administration. Working within Salesforce (tailored for auction marketplace) and our agreed national processes, you'll own your work queue, keep clear records of completed work, and escalate early whenever information, approval or judgement is required.
Daily responsibilities include:
Complete allocated auction administration and processing tasks accurately and within required timeframes, managing your work queue and raising capacity issues early
Create, validate and update vendor, asset and sale records in Salesforce, completing PPSR, WOVR, registration, title, reserve, photo and document checks
Support sale creation, asset lotting, catalogue and listing administration, and complete assigned sale readiness checks before launch
Prepare red lists, purchase orders and recoverable cost allocations, and support receipting follow-up, payment status checks and refund information collation
Maintain accurate, confidential documentation, stock and work-in-progress records with a clear audit trail
Cover the front desk when required and provide excellent customer service, support Auction Services Coordinator, Operations, Finance and offshore teams during workload peaks and contribute to process improvement.
ABOUT YOU
You are detail-driven and dependable — someone who takes ownership of their queue, follows the process accurately, and knows exactly when to escalate rather than make a judgement call.
You will bring:
1–3 years' experience in administration, auction support, sales operations support or a comparable processing role
Experience with operational systems, data entry, workflow queues, documentation or customer and vendor records
Strong attention to detail, accuracy and follow-through, with the ability to follow approved processes consistently
Practical prioritisation skills and a calm, organised approach when managing competing deadlines
Clear, professional communication skills and a collaborative, service-oriented approach
Sound awareness of role boundaries — escalating early where information, approval or judgement is required.
