About the role
An exciting opportunity exists to join the Corporate Services Division in the IMT Branch, Enterprise Architecture & Governance Unit as a Portfolio Scheduler in an ongoing full-time position.
The VCAA is a statutory body responsible to the Victorian Minister for Education, serving both government and non-government schools. We provide high-quality curriculum, assessment and reporting for all Victorian student's birth to 18 years.
Role Purpose
The Portfolio Scheduler leads the creation and execution of technology strategies that align with departmental values, the VCAA ICT Strategy and roadmap, and broader strategic objectives. The role provides expert support in technology management, fosters innovation and supports transformation across the department.
This role is responsible for supporting the planning, coordination, scheduling and reporting of IMT Branch work across projects, product delivery, operational initiatives and roadmap activities. It helps embed consistent ways of working across the branch by improving portfolio visibility, delivery sequencing, sprint and release planning, backlog coordination, capacity planning and governance reporting.
Working across business engagement, project delivery, digital delivery and applications, and platforms and operations, the Portfolio Scheduler ensures work is prioritised, scheduled and tracked realistically in support of the VCAA ICT Strategy and roadmap. The role establishes and maintains integrated schedules, delivery plans, milestones, dependencies and reporting arrangements to provide a reliable view of work across the branch.
The role works closely with Service Manager roles to support alignment between branch delivery planning and operational service requirements, particularly in relation to prioritisation, release readiness, change impacts, scheduling and governance reporting.
The role also works with delivery teams and stakeholders to validate priorities, resource capacity, delivery sequencing and timeframes, identify scheduling conflicts and emerging risks, and support timely corrective action. It supports the use and administration of project and work management tools such as Jira, Confluence and related reporting platforms to provide accurate portfolio information, maintain delivery cadence and strengthen modern software delivery lifecycle practices.
This role contributes to improved governance, reduced unplanned work, clearer prioritisation and more predictable delivery outcomes aligned with the VCAA ICT Strategy and roadmap.

The IMT Branch plays a key role in supporting the organisation's digital, technology and information management needs.
Within the IMT Branch, the Enterprise Architecture & Governance Unit supports strategic technology planning, governance, prioritisation and coordination across a complex portfolio of work. The unit works closely with business and technical teams to improve visibility of work, support delivery planning, strengthen governance practices and contribute to more predictable and effective delivery outcomes aligned with the VCAA ICT Strategy and roadmap.
