Construction - Insurance Claim Administration Coordinator

OCS Building Maintenance t/as Midcity Group has been providing expert residential and commercial building repairs to the insurance industry for over 35 years. We are a national organisation operating in WA, NSW, VIC and QLD.

We are seeking a dedicated and enthusiastic Claims Administration Coordinator to join our growing team. The ideal candidate will be versatile, proactive, and enjoy working in a team environment where contributions are valued and creativity and initiative are encouraged.

The primary focus of this role is to take ownership of a key client portfolio, delivering exceptional customer service and administrative support across the end‑to‑end insurance claim management process. Maintaining a consistently high level of service is essential.

Our office is located in Essendon North.

Key Duties & Responsibilities

• Manage end‑to‑end administrative tasks involved in the insurance claim and repair lifecycle.

• Inbound phone calls from insurance clients, homeowners and trades deliver one call solutions.

• Provide KPI and portfolio updates to the line manager.

• Manage the client‑dedicated inbox, including triaging and actioning emails.

• Liaise with homeowners and insurance companies throughout the pre‑repair and repair stages.

• Communicate with suppliers, subcontractors, and our internal Supervisors, Estimators, and Trades.

• Engage, coordinate, and manage trades for all stages of the repair process.

• Take responsibility for all client and stakeholder communications.

• Strong customer service skills.

• Ability to manage client KPIs and SLAs effectively.

• Excellent written and verbal communication skills, including a professional phone manner.

• Exceptional time‑management and organizational abilities.

• High level of computer literacy, including Microsoft Excel and Outlook.

• Strong attention to detail and accuracy.

• Australian work rights are required for this position.

• Experience using job or claims management software.

• Training will be provided on specific job and claims management software platforms.

• Minimum of 2 years' client account management experience within the Insurance Building industry or with an Insurer.
