About the Role

Beulah Meat Products Pty Ltd is an established Australian butcher shop and wholesale meat business based in Sunshine West, Melbourne.

Our business supplies quality meat and processed meat products to customers and businesses and specialises in products including beef, pork and lamb, as well as Filipino favourites such as chorizo, longganisa, tocino, tapa and other processed meat products.

We are looking for a capable, reliable and organised Office Manager to oversee the day-to-day administrative operations of the business and provide support to management across our retail and wholesale activities.

Immediate commencement is required for this position.

The successful applicant will be responsible for coordinating office administration, customer and supplier communication, invoicing, purchasing, orders, records and other business operations.

Qualifications &Experience

The successful applicant will have:

• A relevant Diploma or higher qualification in Business, Management, Commerce, Administration or a related field; or at least 3 years of relevant work experience in office management, administration or a similar role.
• Demonstrated experience in office administration and business operations.
• Strong organisational and time-management skills.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy.
• Ability to manage multiple tasks and priorities in a busy operational environment.
• Good computer skills, including Microsoft Office, spreadsheets and business administration/accounting systems.
• Strong customer service and communication skills.
• Ability to work independently and use initiative.
• Experience in food, meat, retail, wholesale, distribution or logistics will be highly regarded.
• Understanding of Filipino cultural practices and customer preferences will be highly regarded.
• Must have a full Australian driver's licence.

Duties & Responsibilities

• Oversee and coordinate the day-to-day administrative operations of the office.
• Organise administrative priorities and ensure office tasks are completed accurately and efficiently.
• Manage customer and supplier enquiries by phone, email and other communication channels.
• Maintain accurate customer, supplier, employee and business records.
• Prepare and process sales invoices, purchase invoices, purchase orders, statements and other business documentation.
• Coordinate administrative requirements relating to customer orders, wholesale orders and deliveries.
• Liaise with customers, suppliers, management, staff and other employees to coordinate business activities.
• Assist with purchasing and supplier coordination.
• Monitor order and delivery documentation and maintain appropriate records.
• Prepare spreadsheets, reports and other documents for management.
• Maintain organised electronic and physical filing systems.
• Coordinate office supplies, equipment and other administrative resources.
• Assist with employee administration, including recruitment support, onboarding, staff records, leave information and payroll-related administration.
• Provide administrative and operational support to management.
• Assist with the implementation and review of office policies, procedures and systems.
• Identify opportunities to improve administrative processes, efficiency and accuracy.
• Maintain confidentiality of business, customer, supplier and employee information.
• Ensure administrative records are maintained accurately and in a timely manner.
• Assist with other office and operational duties as reasonably required by management.

Pay: $81,120.00 – $83,200.00 per year
