The office in Sydney, NSW supports both clinical service delivery and administrative operations.Role Description The Office Administrator is a full-time, on-site role based in Sydney, NSW, responsible for ensuring the smooth day-to-day running of the clinic office. This role includes managing reception duties, greeting clients, answering phone and email inquiries, scheduling appointments, and maintaining accurate patient records. The Office Administrator will handle general administrative tasks such as filing, data entry, invoice preparation, and coordination of correspondence with referrers and other healthcare providers. The position also involves monitoring and maintaining office supplies and equipment, preparing documentation and forms for clinical staff, and supporting basic billing and payment processes. The person in this role will collaborate closely with clinicians and management, contributing to a professional, efficient, and welcoming environment for clients.Qualifications Candidates should possess strong Office Administration and Administrative Assistance skills, including organizing schedules, managing records, and supporting daily office workflows.Candidates should possess effective Communication and Customer Service skills to interact professionally with clients, families, and healthcare professionals in person, by phone, and via email.Candidates should possess familiarity with Office Equipment and basic troubleshooting skills for devices such as printers, scanners, phones, and computers.Relevant experience in a medical, allied health, or clinic environment is beneficial, including understanding of confidentiality and privacy requirements.Proficiency with standard office software (e.g., word processing, spreadsheets, email, calendar systems) and the ability to learn practice management systems is preferred.Strong attention to detail, reliability, and the ability to prioritize tasks in a busy environment are important.A certificate or diploma in business administration or a related field, or equivalent experience, is advantageous.
