We work alongside ENT surgeons, neurologists, GPs, and allied health teams to provide accurate diagnostics, clear reporting, and management plans that patients and their families can actually act on. Our approach is deliberately anti-sales and evidence based: recommendations are driven by clinical findings, not product targets. As part of a growing multi-clinic group operating across Sydney and a national telehealth service, we offer the structure and systems of an established organisation with the pace and ownership of a business still building. We value professionalism, integrity, and continuous improvement across both clinical and administrative practice.Role DescriptionThis is a full-time, on-site Clinic Administrator role based in Sydney, NSW, with the flexibility to work across our clinic sites as required. The Clinic Administrator is the operational anchor of the practice and the first point of contact for patients, referrers, and suppliers.Responsibilities include:Managing the daily appointment schedule across clinicians and sites, including recalls, reminders, and rebooking to keep diaries full and cancellations covered.Maintaining accurate patient records and clinical documentation in the practice management system, with strict adherence to privacy and record keeping requirements.Handling phone, email, and online enquiries professionally, triaging clinical questions to the right clinician and resolving administrative matters independently.Processing referrals, consent forms, reports, and correspondence between the clinic, GPs, ENT specialists, hospitals, and funding bodies.Supporting billing and invoicing activity, including claims, private health and government funding programs, receipting, and following up outstanding accounts.Performing data entry, database updates, and preparing basic operational reports on bookings, conversions, and outstanding tasks.Managing inventory and ordering of clinical consumables and office supplies, and liaising with suppliers on stock and deliveries.Keeping reception and clinical areas organised, presentable, and compliant with infection control and workplace standards.Working closely with the clinical team to improve workflows, document repeatable processes, and remove friction from the patient journey.QualificationsStrong administrative and organisational skills, including calendar management, data entry, and record keeping.Proficiency with office software and clinical systems, including word processing, spreadsheets, email platforms, and practice management or CRM tools.Effective communication and interpersonal skills, with the ability to handle patient enquiries professionally and support a multidisciplinary team.Attention to detail and accuracy in documentation, billing support, and handling confidential information.Ability to prioritise, work independently, and manage time effectively in a busy clinical environment.Previous experience in healthcare administration, medical reception, or a similar office role is highly regarded.Understanding of basic medical terminology and privacy obligations under Australian health information legislation is an advantage.Familiarity with Medicare, DVA, NDIS, or Hearing Services Program claiming is well regarded but not essential.Relevant qualification in business administration, health administration, or a related field, or equivalent work experience.Current Australian working rights, and willingness to complete pre-employment checks including a Working with Children Check.What We OfferA specialised clinical setting where administrative work has a direct effect on patient outcomes, not just paperwork.Structured onboarding, documented processes, and genuine support from clinicians and practice leadership.Scope to grow with the group as we expand across Sydney, including pathways into practice management and operations.A collaborative team that takes clinical standards and patient experience seriously.Apply with your CV and a short cover note telling us about your experience in a healthcare or clinical administration setting.
