Business Services Coordinator – Maximum Term (Maternity Leave Cover)

We’re looking for an experienced and highly organised Business Services Coordinator to cover a maximum term maternity leave period from 1 September 2026 to 31 August 2027 (the contract may end earlier if the substantive employee returns to work sooner).

This role is based at our Fremantle office, on High Street. You’ll keep the business running day to day, supporting our leadership team, managing finance administration, maintaining compliance documentation, coordinating travel, overseeing office operations, and supporting our people and HR processes.

You’ll work across a broad range of functions simultaneously as a trusted partner to our leadership team. This role suits someone proactive, detail oriented, and comfortable navigating a fast moving, compliance conscious environment.

• Finance and bookkeeping: accounts payable, bank reconciliations, and financial reporting
• Commercial administration: invoicing, purchase orders, contract register maintenance, and subcontractor compliance tracking
• HR support: recruitment coordination, employment contracts, onboarding, and Fair Work compliance
• Workforce planning: resource forecasting, performance cycle coordination, and Employment Hero system management
• General administration: policy maintenance, facilities coordination, and organisational reporting
• Travel: company booking and expenditure coordination
• Security: DISP compliance administration
• OHS and regulatory compliance including insurance administration

• 2-4 years of experience in a business services, operations coordination, or executive support role
• Demonstrated ability to manage multiple functions across finance, HR, facilities, and compliance
• Experience with Xero or a comparable finance/administration platform is highly regarded
• Familiarity with employment contracts and Fair Work compliance in an Australian context
• Clear, professional written communication and strong document management
• A proactive approach; you spot what needs doing and get on with it
• Comfort operating in a compliance conscious environment; exposure to DISP, ISO, or regulated industries is an advantage
• Ability to work full-time in Australia
• A tertiary qualification in business administration, HR, or a related field is preferred, not essential

Greenroom Robotics operates under the Defence Industry Security Program (DISP). This role requires the successful candidate to be eligible for DISP membership and to support the company’s security obligations through accurate record keeping and compliance administration.

A prior security clearance is not required. The successful candidate must be willing to undergo a background check as part of onboarding.
