About the Role

We're growing, and we need an experienced, highly organised Office Administrator to join us on a permanent basis. This role is open to candidates based in Sydney (preferred) or Fremantle.

You'll support our leadership team across finance administration, HR processes, compliance documentation, travel coordination, and office operations. It's broad, hands on, and genuinely varied.

This suits someone who's proactive, thrives on detail, and is comfortable in a fast paced, compliance conscious environment.

Key Responsibilities

• Finance and bookkeeping support: accounts payable, bank reconciliations, and financial reporting

• Commercial administration: invoicing, purchase orders, contract register maintenance, and subcontractor compliance tracking

• HR support: recruitment coordination, employment contracts, onboarding, and Fair Work compliance

• Workforce planning: resource forecasting, performance cycle coordination, and Employment Hero system management

• General administration: policy maintenance, facilities coordination, and organisational reporting

• Travel: company booking and expenditure coordination

• Security: DISP compliance administration

• OHS and regulatory compliance including insurance administration

What You'll Bring

• 2-4 years of experience in a business services, operations coordination, or executive support role

• Ability to juggle multiple functions across finance, HR, facilities, and compliance without dropping the ball

• Experience with Xero or a comparable finance/administration platform is highly regarded

• Familiarity with employment contracts and Fair Work compliance in an Australian context

• Strong written communication and document management skills

• A self starter mentality; you see what needs doing and get on with it

• Comfort working in a compliance conscious environment; exposure to DISP, ISO, or regulated industries is an advantage

• Ability to work full-time in Australia

• A tertiary qualification in business administration, HR, or a related field is preferred, not essential

Security Requirements

Greenroom Robotics operates under the Defence Industry Security Program (DISP). This role requires the successful candidate to be eligible for DISP membership and to support the company's security obligations through accurate record keeping and compliance administration.

A prior security clearance is not required. The successful candidate must be willing to undergo a background check as part of onboarding.
