About the role
You are already good at what you do. Now you are ready to earn your stripes.
You are the person who remembers the details, follows things through and makes sure the job actually gets finished.
You do not need to be at the top of your game yet. You do need to be organised, switched on, comfortable with technology and hungry to succeed.
At 1800 Projects, you will work directly with the business owners, learn how the entire operation works and become a trusted part of the team.
If you want more responsibility, greater variety and the opportunity to build a genuine career, this could be the move you have been waiting for.
About 1800 Projects
1800 Projects produces signage, branded merchandise and uniforms for businesses across Australia.
Established in the Sutherland Shire in 2006, we work across stadium branding, retail fit-outs, branded uniforms, promotional merchandise and major event activations. Our customers include some of the most recognised businesses and brands, including Coca-Cola, Channel Nine, Nova, Harley Davidson & Red Bull.
We are a growing, hands-on business based in Miranda.
Our directors and salespeople are winning work through our reputation, but too much of their time is being spent processing it. We need a capable Sales Administration Assistant who can take control of the details behind each job and help keep everything moving.
The purpose of the role
Your job is simple to describe: help our directors and salespeople sell more by taking responsibility for the administration that follows.
You will assist with quotes, process orders, source products, communicate with suppliers, answer customer enquiries and make sure finished orders are checked, packed and dispatched correctly.
Routine and repeat quotations may be prepared and sent independently using established pricing. More complex jobs will be prepared with guidance and approved before being issued. As your product knowledge and judgement develop, you will be trusted with more and rewarded accordingly.
This is not a bookkeeping position, a production position or a purely desk-based administration role.
It is a varied, hands-on sales administration role. When stock arrives or an order needs to leave, you will be involved in checking, packing, labelling and dispatching it properly, ensuring quality is at 1800 Projects standards.
What you will be responsible for
Sales administration
Preparing routine quotes using established pricing and supplier information
Assisting the sales team with more complex quotations
Processing customer orders accurately
Coordinating sizes, quantities, colours and artwork approvals
Keeping jobs moving and following up outstanding information
Managing repeat orders and routine customer enquiries
Maintaining accurate job and customer information
Product sourcing and suppliers
Sourcing uniforms, merchandise and related products
Requesting and comparing supplier pricing
Checking availability, lead times and minimum order quantities
Communicating clearly with suppliers
Raising problems early when pricing, stock or timing changes
Customer service and reception
Answering incoming telephone calls as the first point of contact for the business
Responding professionally to customer enquiries by telephone and email
Keeping customers informed throughout their order
Following through on commitments and closing the loop
Recognising straightforward sales opportunities and passing more complex enquiries to the appropriate person
Stock, quality checking and dispatch
Receiving and counting incoming stock
Checking products against purchase orders and customer requirements
Inspecting uniforms and merchandise for obvious faults or inconsistencies
Organising products for decoration, collection or dispatch
Packing orders carefully and presenting them professionally
Labelling cartons and booking couriers
Keeping the packing and dispatch area organised
Who we are looking for
You may currently work in administration, sales support, customer service, purchasing, order processing or office coordination.
You might already work in signage, print, uniforms, workwear, merchandise or promotional products. If you do, we would particularly like to hear from you.
However, industry experience is not essential. We will train the right person on our products, suppliers and systems.
What matters most is how you work. You are someone who:
Is highly organised and naturally pays attention to detail
Can manage sizes, quantities, artwork approvals and deadlines at the same time
Communicates confidently with customers and suppliers
Follows through without needing to be constantly reminded
Raises problems early instead of hoping they disappear
Takes work off busy people rather than adding to their workload
Is comfortable moving between office administration and hands-on dispatch
Learns quickly and responds well to feedback
Takes pride in how an order looks when it leaves
Wants to build a career, not simply fill a position
Is ready to earn greater responsibility by demonstrating what they can do
We are an AI-first business
1800 Projects actively uses AI to reduce repetitive administration, improve accuracy and help our people work more efficiently.
We are looking for a modern-thinking person who is comfortable using technology and naturally looks for better ways to get things done.
You do not need to be an AI expert, but you should already be experimenting with tools such as ChatGPT, Claude or similar platforms.
During the interview, we will ask you to describe one practical way you have used AI to save time, improve your work or solve a problem.
If your instinct is to avoid new technology, this will probably not be the right environment for you. If your instinct is to explore it and work out how it can help, you will fit in well.
What we offer
$65,000 to $75,000 + 12% superannuation, based on experience and capability
Full-time employment based at our Miranda office
Direct training from the business owners
Exposure to sales, sourcing, customer service, logistics and project delivery
Genuine variety across products, customers and industries
Modern AI tools that reduce repetitive administration
Work for recognised brands on projects you can see in the real world
Salary reviews as your capability and responsibilities grow
A clear pathway from supporting jobs to managing routine jobs from beginning to end
An established business with room for capable people to progress
We are looking for someone who already has strong foundations and wants the opportunity to become exceptional.
Currently employed?
Apply in confidence. Your application will be reviewed by our directors and treated discreetly. We will not contact your current employer without your express permission.
Australian working rights
Applicants must currently live in Australia and hold full, unrestricted Australian working rights.
This is a full-time, on-site position based in Miranda, NSW. It is not a remote or offshore position, and visa sponsorship is not available.
Applications that do not meet these requirements will not be progressed.
How to apply
Apply through SEEK with your resume and a short covering note telling us:
What you are doing now and what a typical day involves
Why this opportunity interests you
Any relevant experience in administration, sales support, signage, print, uniforms or merchandise
One practical example of how you have used AI in your work
We read every application and review them as they are received.
