 Our Operating Company, Newtrend IT, is after a highly organised and detail-focused Sales Administration & Marketing Coordinator to join our team in Kewdale. This is a hands-on role supporting our Sales Director, Account Managers and Business Development Managers to ensure our client-facing materials are polished, accurate and consistently professional.

Responsibilities

• Create, maintain and improve professional templates for quotes, marketing collateral and client-facing materials.
• Ensure quotes, presentations, marketing materials and informational documents are accurate, polished, easy to understand and aligned with approved branding.
• Coordinate information and approvals from the Sales Director, Account Managers, BDMs, finance and technical teams to prepare client-ready quotations.
• Maintain accurate CRM, quoting and document-management records, including opportunity, quote, activity and follow-up information.
• Proofread and quality-check MSAs, order forms, schedules and related commercial documents for formatting, completeness, consistency and approved wording.
• Maintain version control across templates, standard wording, product descriptions and supporting sales material.
• Build and schedule straightforward email and digital campaigns for existing clients, including communications about new products, service improvements and important changes.
• Segment client lists, maintain data quality and ensure approved communication and privacy requirements are followed.
• Draft and refine concise campaign content, test links and formatting, and coordinate approvals prior to distribution.
• Monitor basic campaign results and ensure relevant client interest or follow-up is passed to the appropriate Account Manager or BDM.
• Identify opportunities to simplify and improve sales and marketing processes through practical checklists, templates, standards and automation.
• Support the wider sales team with administration, reporting, presentations and coordination as required.

Skills required

• 2+ years’ experience in a similar sales administration, marketing coordination, proposal, bid support or document-focused role.
• Exceptional attention to detail and a strong ability to proofread and quality-check client-facing documents.
• Experience using CRM or customer database systems.
• Accurate data entry and strong document-management skills.
• Ability to prepare sales reports, quotations and presentations.
• Experience creating and maintaining professional templates and applying brand standards.
• Practical experience with email or digital campaigns, including audience selection, testing, scheduling and basic reporting.
• Strong written communication skills, with the ability to improve wording while maintaining its intended commercial meaning.
• Excellent organisation and follow-through, with the ability to manage multiple deadlines and stakeholders.
• A proactive, self-directed approach and a genuine desire to improve how things are done.
• Strong collaboration skills and the judgement to know when an issue needs to be escalated.
