Customer Service & Logistics Co-ordinator

About the role

Due to an internal promotion and ongoing growth, Vaikobi has an immediate opening for a Customer Service and Logistics Co-ordinator. This is a fast-paced role suited to someone who loves being busy and thrives in a dynamic environment. Based at our Warriewood HQ, you'll report to the Sales Operations Manager and work closely with our customer service and warehouse team. You'll need confident communication skills, strong problem-solving ability, and a solid understanding of shipping and logistics. This last one is fundamental to the role. Above all, you'll be a team player who enjoys working in a business that services customers around the world, every day.

Key responsibilities

• Handle customer enquiries covering product info, sizing, order tracking, and shipping

• Resolve issues where you can, and escalate the rest

• Coordinate domestic and international shipments end to end: recommend the right courier, process and dispatch orders on time, and follow up on delivery or freight issues

• Obtain freight quotes, book carriers, and prepare commercial invoices and export documentation for international orders, keeping everything compliant with customs and courier requirements

• Pitch in with light warehouse and packing duties as needed

• Collaborate across the team to keep things running smoothly

About you

• Customer service experience, ideally across both wholesale/dealer and direct-to-consumer

• Strong written and verbal communication skills

• Excellent organisation and time management

• Confidence with business systems — email, spreadsheets, order management, e-commerce platforms

• Customer-focused, detail-oriented, reliable, and proactive

• A collaborative team player who's comfortable in a fast-moving environment

Hours

• Mon-Fri, 8.30am-2.30pm.
