Project Coordinator

Outdoors Victoria (OV) is the recognised peak body for outdoor education and active outdoor recreation in Victoria.

We advocate for and support people and organisations dedicated to quality, sustainable and inclusive outdoor experiences. We play a key role in sector development, industry advocacy, research, workforce capability and stakeholder collaboration.

Our goal is to help build a stronger and more resilient outdoor sector – and, in turn, enable more Victorians to be active outdoors in nature.

About the project

Outdoors Victoria has received funding through the Level the Field program to deliver a major new workforce inclusion initiative for Victoria’s outdoor recreation sector.

The project will support outdoor recreation employers and volunteer managers across regional Victoria to become more confident and capable in employing, supporting and retaining people with disability.

Working with people with lived experience of disability, regional inclusion specialists, researchers, outdoor recreation experts and learning and digital content specialists, Outdoors Victoria will develop and pilot a practical online training and mentoring program for the sector.

The project will translate research, lived experience and good practice into practical resources that outdoor recreation organisations can use in their workplaces.

About the role

As Project Coordinator, you will be the central delivery lead for the project, working 0.6 FTE across the week, as negotiated.

Your role is not to be the technical expert across every aspect of the project. Instead, you will bring together the expertise of Outdoors Victoria staff, project partners, people with lived experience and specialist contractors to deliver a coordinated, high-quality program.

You will be comfortable managing a project end-to-end – establishing systems and priorities, keeping multiple workstreams moving, coordinating contributors, managing budgets and timelines, solving problems as they arise, and ensuring commitments to our funder and partners are delivered.

You will work closely with the OV CEO and broader team and will also contribute to related Outdoors Victoria projects where capacity allows.

Occasional travel within Victoria will be required.

Key accountabilities

Project leadership and delivery

• Lead day-to-day planning and implementation of the Level the Field project.
• Maintain the project plan, timelines, priorities, risks, budget and deliverables.
• Coordinate multiple workstreams and manage competing priorities across the life of the project.
• Ensure agreed project outcomes are delivered on time, within budget and to a high standard.
• Provide clear reporting to the OV CEO, project governance group and funder.

Partners, contractors and stakeholders

• Coordinate project partners, our research partner in Federation University and specialist consultants, including people with lived experience of disability.
• Manage contractor briefs, procurement, deliverables and project dependencies.
• Build productive relationships with regional stakeholders, outdoor recreation organisations and employment support groups.
• Identify opportunities for collaboration and knowledge sharing across the broader program.

Training and digital content development

• Coordinate the development, testing and refinement of the project's online training program.
• Bring together research, lived experience and specialist expertise into practical learning resources for employers and volunteer managers.
• Coordinate learning content, digital resources, video case studies and supporting materials.
• Work with OV staff and specialist contributors to ensure training is accessible, engaging, practical and relevant to the outdoor recreation sector.
• Support implementation of the training through an online Learning Management System.

Evaluation, quality and continuous improvement

• Coordinate monitoring, evaluation and reporting across the project.
• Use participant, stakeholder and partner feedback to continually improve project delivery.
• Maintain appropriate quality assurance across project outputs and training resources.
• Capture project learning and contribute to recommendations for future sector development.

What we are looking for

You will be an organised and capable project professional who enjoys turning a complex project into a clear and achievable program of work.

You will ideally bring:

• Demonstrated experience managing projects from planning through to delivery, evaluation and reporting.
• Strong organisational skills and the ability to manage multiple workstreams, deadlines and competing priorities.
• Experience managing budgets, procurement, contractors and external partners.
• Strong stakeholder engagement and communication skills, with the ability to work effectively across different organisations, disciplines and perspectives.
• A collaborative approach and confidence drawing upon specialist expertise rather than needing to hold all the answers yourself.
• Strong judgement, initiative and problem-solving capability.
• Confidence working independently while closely connected to a small, collaborative team.

Highly regarded experience

We would particularly value applicants who bring experience in one or more of the following areas:

• adult learning, instructional design or curriculum development;
• development of online training and digital learning resources;
• Learning Management Systems such as Thinkific or similar platforms;
• learner experience, accessibility or quality assurance of online learning;
• disability inclusion, inclusive employment or workforce development;
• project monitoring, evaluation and continuous improvement; or
• outdoor recreation, outdoor education, sport, active recreation or the broader Victorian recreation sector.

Existing relationships across the Victorian outdoor recreation or active recreation sector would be valuable, but are not essential. We are equally interested in people who can bring strong project and learning-development capability and quickly build effective sector relationships.

OV is a small, collaborative organisation where people have the opportunity to contribute beyond narrowly defined position descriptions. As capacity allows, the Project Coordinator may provide project support to the CEO and contribute to other OV initiatives.

We are looking for someone who can bring structure and discipline to project delivery while being flexible, practical and comfortable working in a dynamic environment.
