Operations Administrator

We’re looking for an experienced AroFlo operator to take ownership of scheduling, systems and workflow development for our internal electrical team. You’ll coordinate 20–30 electricians and installers while building the processes, visibility and structure that keep a high-volume delivery team running smoothly.

You’ll take over the day-to-day scheduling of our internal electrical team, stepping into full ownership with a clear brief: make it structured, make it visible, and build the AroFlo workflows that underpin it. Alongside scheduling, you’ll manage jobs end-to-end in AroFlo — from intake through to timesheets, purchase orders, compliance tracking and reporting, and be the coordination link between our installers, Installation Coordinators, Accounts and the broader delivery function.

Key Responsibilities

• Schedule 20–30 internal electricians across residential and commercial projects
• Build and improve AroFlo workflows, templates and processes
• Manage jobs end-to-end including timesheets, purchase orders and job administration.
• Maintain compliance records including licences, CEC accreditations and WHS documentation.
• Contact customers regarding installation dates and site access requirements.
• Coordinate between installation teams, Installation Coordinators, Accounts and management.

Your skills and experience

• AroFlo experience — We want to hear about what you’ve built, what you’ve improved, and what volume you’ve managed.
• The ability to configure and build out AroFlo workflows and design how the platform works.
• Experience scheduling a large trades or field-based team (15+ people) in a high-volume, fast-moving environment.
• Proven ability to work across trades, admin and business functions simultaneously
• A genuine accuracy discipline — others will depend on what you put into shared systems, and errors have downstream consequences.
• Calm under pressure — when the schedule shifts and three things change at once, you’re the one who steadies it.

It’s a bonus if you have:

• Experience in solar, electrical or construction operations.
• Familiarity with electrical licensing, CEC accreditation or WHS documentation requirements.
• Experience with Xero and ApprovalMax in a job costing or purchase order context.
• A track record of setting up or migrating a team onto AroFlo — not just inheriting an existing setup.
