Accounts Coordinator

About the role

We are looking for an Accounts Coordinator to join our operations team, reporting to the Finance Controller. This is a hands-on role at the centre of the firm's financial operations, covering everything from bank reconciliations and creditor management to trust accounting and debtor follow-up. You will be trained on the job by the Finance Controller and, over time, expected to manage the core accounts functions independently. This is a role for someone who is organised, accurate and comfortable taking ownership of processes that matter. The role is available part-time or full-time, and can be based in any of our offices.

Key responsibilities

• Work closely with the Finance Controller through on-the-job training, direction on tasks, and set priorities
• Build enough knowledge to manage the core accounts functions independently during periods of leave
• Monitor and manage the Outlook accounts inbox as the first point of contact
• Respond to debtor queries promptly and professionally
• Match receipts to remittance advices and organise and route creditor invoices
• Match bank feeds daily and input creditors in Xero systems (HIGA PP and HIGA BJ)
• Input creditors daily in Hitch, create and manage contacts, arrange weekly creditor payment runs, upload credit card statements, and reconcile all user cards daily
• Input bill receipts and disbursements daily in Actionstep, upload invoices and correct GST, create and update contact details, prepare the monthly Trust to Office transfer for review
• Monitor the trust account daily and notify staff of funds received, upload creditor payments for approval, and upload the Trust to Office transfer
• Act as the first point of contact for debtors, make phone calls when necessary, respond to queries, correct addresses in the system, send itemised invoices on request, and follow up on non-payment

About you

• Experience in an accounts, bookkeeping or finance coordination role, ideally within a professional services or legal environment
• Working knowledge of Xero and confidence with bank reconciliations and creditor processes
• Strong attention to detail and a methodical approach to daily tasks
• Strong experience managing accounts payable and receivable processes end to end
• Strong experience working with accounting software, online banking platforms and practice management systems
• Strong experience communicating clearly and professionally with internal teams and external contacts
• Strong experience organising your own workload and meeting daily deadlines without supervision
• Experience with Actionstep or another legal practice management system
• Familiarity with trust accounting in a legal or regulated environment
• Exposure to CommBiz or Macquarie Bank business banking platforms
