Project Officer

Key Responsibilities

The general and generic duties of the Additional Services Administrator include, but are not limited to

1. GA Activity Processing and Reporting

• Process GA-approved activities monthly to support fixed fee claims.
• Ensure timely and accurate reporting of GA activities for inclusion in monthly financial submissions.

2. Request for Authorisation (RFA) Management

• Review daily operation reports in collaboration with Operations.
• Use GSI to identify and submit RFA forms to QR and State promptly.
• Monitor RFA backlog and ensure timely closure of outstanding items.

3. Financial Reporting and Claims

• Align RFA claims with QR/State to report monthly amounts to the Commercial team.
• Include fixed fee amounts and annual escalations in monthly claims as per contract.
• Support fixed fee reconduction and extension processes.
• Ensure the $556k yearly credit is consumed through RFA claims as early as possible.
• Collect and process information for Overhaul Lumpy Payment Claims.

4. Monthly IC Meeting Reporting

• Update presentation slides to reflect GA activity levels, RFA status, backlog, and associated financial outcomes.
• Present dispute topics and improvement opportunities to IC and QTECTIC.

5. Service Delivery Oversight

• Monitor vandalism repair delivery and SO backlog reduction.
• Provide justifications to customers for deviations and collaborate with Operations to improve service delivery.
• Propose service improvements aligned with customer expectations and contract terms, including VO recommendations.

6. Internal Coordination and Evidence Support

• Work with Engineering, Operations, Cleaning, Quality, and Planning teams to gather supporting evidence for claims.
• Any Other Tasks as requested by the Performance Manager
