About the role
At Rak's Quality Plumbing, we’re not just keeping the water flowing — we’re building a business that thrives on teamwork, innovation, strong relationships and continuous improvement.
We are an established, family-owned and operated Sydney plumbing business based in Thornleigh, NSW, and as we continue to grow, we’re looking for a proactive, organised and tech-savvy Office Manager to join our team on a full-time basis.
Reporting directly to the Director, you’ll become the engine room of our office — coordinating our plumbers, managing schedules, communicating with clients and ensuring the day-to-day operations of the business run smoothly.
This is an important role within RQP. You’ll have the opportunity to take genuine ownership of the administrative side of the business, identify ways we can improve and help implement better systems and processes as we continue to grow.

🚀 What You’ll Be DoingYour responsibilities will include:
Managing inbound and outbound calls, emails and client communications.
Dispatching jobs and managing daily scheduling through AroFlo.
Coordinating with our plumbers throughout the day to ensure jobs run efficiently.
Managing appointment scheduling and job coordination for our field team.
Liaising with strata managers, property managers, residents, contractors and clients.
Following up outstanding jobs, quotations and client enquiries.
Assisting with sales calls and helping convert enquiries into booked work.
Managing correspondence, documentation and general office administration.
Maintaining accurate customer records, databases and filing systems.
Assisting with invoicing, reports and job documentation.
Ensuring photos, reports and relevant job information are correctly recorded.
Ordering materials and office supplies and liaising with suppliers and vendors when required.
Developing, documenting and improving office procedures, systems and workflows.
Identifying opportunities to streamline processes and improve efficiency.
Supporting recruitment, onboarding and training processes as the team continues to grow.
Helping implement new technology, software, procedures and systems across the business.
Working closely with the Director and management to support the continued growth of RQP.
Helping organise team events and culture-building activities to keep our workplace fun, positive and connected.
We’re looking for someone who doesn’t simply wait to be told what to do. If you notice something that could be organised better, streamlined or improved, we want you to feel confident taking ownership and helping make it happen.
💻 Systems & TechnologyWe currently operate using AroFlo for our job management, scheduling and day-to-day operations.
We are also preparing to transition the business to ServiceTitan, which will be a significant and exciting step forward for the company.
The transition will involve comprehensive training and learning a new system, but it also provides a fantastic opportunity for the successful candidate to be involved in the implementation from the beginning and help shape how the system, procedures and workflows are used within the business.
You don't necessarily need experience with ServiceTitan — what matters is that you're confident with technology, willing to learn and excited about finding better ways of doing things.
🙌 What We’re Looking ForIdeally, you’ll bring:
Proven experience in office administration, office management or coordination.
Experience within plumbing, trades, construction, strata, property or another service-based industry is highly regarded.
Strong organisational and time-management skills.
The ability to confidently manage multiple priorities in a fast-moving environment.
Excellent written and verbal communication skills.
Confidence communicating with customers and managing enquiries over the phone.
Experience with job-management, scheduling or office-management software such as AroFlo or similar.
Good general computer skills, including Microsoft Office.
Strong attention to detail and accuracy with documentation and record keeping.
A proactive attitude — you see something that needs doing and take ownership of it.
Strong problem-solving skills and an eye for improving systems and processes.
The ability to work independently while also being a great team player.
A positive, friendly and energetic personality that contributes to our team culture.
Qualifications in office administration, business management or a related field would be advantageous, but attitude, experience and the right cultural fit are equally important to us.
💰 Salary & Career ProgressionStarting salary: $70,000 – $80,000 per year, depending on experience.
The first three months will involve significant training and learning our systems, processes, clients and the way our business operates.
As you become confident, independent and take greater ownership of the position, there will be opportunities for salary and career progression.
RQP is continuing to grow, and we want someone who can grow alongside us. For the right person, there is genuine opportunity to expand the position and take on greater responsibility within the business over time.
🏠 Training & Work From Home FlexibilityFor approximately the first 4–5 weeks, there will be extensive one-on-one training, and you will be required to work from our Thornleigh office for the majority of the week.
We want to invest the time upfront to make sure you properly understand our business, systems, clients, processes and team.
Once training is completed and you are comfortable managing the role independently, there will be the opportunity to work from home approximately 3–4 days per week, with office attendance as required.
We believe in providing flexibility while still maintaining a strong connection with the team and the business.
⏰ Working HoursThis is a full-time position, with flexibility around your preferred starting time:
7:00 am – 3:30 pm with a 30-minute lunch break
8:00 am – 4:30 pm with a 30-minute lunch break
9:00 am – 5:30 pm with a 30-minute lunch break
