Business Manager to David Malouf

David is seeking an exceptional Business Manager who thrives in a fast-paced, high-volume environment and takes pride in delivering flawless support. You will be the engine room of the business, ensuring every detail is executed to the highest standard while managing multiple priorities with professionalism, confidence, and discretion.

This role requires a highly organised, polished, and mature individual who can anticipate needs before they arise, remain calm under pressure, and build genuine rapport with a discerning client base. You will be entrusted with supporting a business where excellence is expected, deadlines are fast-moving, and no two days are the same.

How You Will Support David Malouf

• Acting as David's trusted right-hand person and managing all day-to-day support requirements
• Extensive diary management, scheduling and appointment coordination
• Managing compliance, maintaining accurate documentation and data management 
• Coordinating property marketing campaigns, including photography, styling, floorplans and advertising
• Preparing presentations, listing documentation and client materials
• Welcoming clients and creating a premium experience for all visitors
• Delivering exceptional customer service both face-to-face and over the phone
• Managing extensive reporting, database management and data entry
• Coordinating settlement gifts, gift boxes and marketing collateral
• Organising mail, marketing materials and campaign logistics
• Liaising with internal marketing teams to ensure seamless campaign execution
• Coordinating auction preparation and event set-up
• Managing multiple high-priority tasks simultaneously while maintaining accuracy and professionalism
• Acting as a key point of communication between the sales team and internal departments
• Liaising with solicitors and conveyancers to follow up legal documentation and settlement requirements
• Handling client enquiries and managing expectations on behalf of David with diplomacy and professionalism
• Taking inbound enquiries and ensuring prompt and effective follow-up
• Attending weekly sales meetings and team functions
• Continuously developing knowledge across systems, technology and business processes
• Monday to Friday role, with occasional Saturday work if team members are on leave

Who We're Looking For? To succeed in this role, you will be an experienced Real Estate professional who enjoys operating at a high level and takes ownership of every task from start to finish.

You will demonstrate:

• Extensive Real Estate administration experience as a Business Manager, Executive Assistant or similar support role
• Outstanding organisational skills and an ability to effectively manage competing priorities
• Exceptional attention to detail and impeccable follow-through
• Strong emotional maturity, professionalism and discretion
• The ability to remain calm, composed and solutions-focused in a high-pressure environment
• Excellent verbal and written communication skills
• A polished and professional presentation, with the confidence to engage with high-net-worth clientele
• The ability to build trust and credibility with clients, suppliers and colleagues alike
• A proactive mindset with the ability to anticipate needs and take initiative
• Strong stakeholder management skills and the confidence to respectfully hold others accountable
• A Certificate of Registration (minimum requirement)
