APS5 - Divisional Support Officer, Consumer Safeguards, Media and Connectivity and Triple Zero Custodian Divisions

The opportunity we have available

This role is a newly created position to provide divisional support to the Consumer Safeguards, Media and Connectivity Division and the Triple Zero Custodian Division.

The Consumer Safeguards, Media and Connectivity Division is at the centre of developing policy and programs to ensure all Australians have access to safe and reliable connectivity and communications services, as well as ensuring the diversity of Australia’s media landscape. It also focuses on digital inclusion for Australia’s First Nations communities.

The Triple Zero Custodian Division oversees the Triple Zero ecosystem to help safeguard the continued availability of emergency calling for all Australians. It ensures the ecosystem is operating effectively, and that it is co-ordinated, connected and responsive.

This position will play an integral role in the operations of both divisions to enable division staff and executives to operate efficiently and effectively. The Divisional Support Officer will report directly to the Divisional Coordinator, Consumer Safeguards, Media and Connectivity Division, and will work closely with both division’s First Assistant Secretary (FAS) Executive Officers (EO).

This role provides a unique opportunity to operate across divisions and branches, with a large team of high-performing staff.

What you will do

You will:

• Work across both divisions to manage and co-ordinate information and input requests.
• Review and coordinate Senate Estimates, Question on Notice and Question Time Briefs briefs.
• Manage the distribution of ministerial correspondence and parliamentary documents using the Parliamentary Document Management System (PDMS), including liaising with various stakeholders to ensure timeframes are met.
• Manage and coordinate communications across the divisions, including drafting the Consumer Safeguards, Media and Connectivity Divisional Newsletter.
• Manage and maintain relevant records.
• Assist with other duties as required.

You will also provide high level support and advice to both division’s FAS and FAS EO to:

• Assist with high priority and sensitive issues and co-ordinate briefings and other materials for the EO and FAS.
• Work on key projects as directed to provide research, analysis and advice on corporate issues relating to the operation of the Division.
• Attend regular meetings to discuss current issues and projects, information requests, strategies to co-ordinate timely responses requests across the Division and advocate for the Division and its needs in various corporate spaces.
• Identify efficiencies and innovative solutions across the work of the team and conduct lessons learned on key pieces of work.

• Applying problem solving skills, assessing divisional needs, and following operating procedures or guidelines, whilst exercising a high level of discretion, flexibility, and excellent judgement.
• Taking responsibility for the achievement of own outcomes, monitoring progress of other team activities and following through tasks to delivery.

Desirable requirements

Candidates with substantial administration experience, in a government or similar environment such as executive, divisional, and project coordination or support roles would be at an advantage.

Eligibility requirements

Employment with the Department of Infrastructure, Transport, Regional Development, Communications, Sport and the Arts is subject to conditions prescribed within the Public Service Act 1999 including: 

• Citizenship: candidates must be an Australian citizen at the time of submitting your application. 
• Health Assessment: The preferred candidate may be required to undergo a medical examination conducted by the department’s preferred medical provider.
• Security Clearance: The successful candidate must be able to obtain and/or maintain a security clearance at Baseline. You must be willing to disclose all relevant and required information. You must have lived in Australia, or have a checkable background, for at least the preceding five years for Baseline Vetting clearances. • Police check: The successful candidate must complete an Australian Federal Police criminal history check.
• Integrity and Performance check: The successful candidate must satisfy the requirements in an Integrity and Performance check which is completed by your most recent employer.
