Executive Assistant / Client Services Administrator

Our client is a highly respected boutique Chartered Accounting firm on Sydneys
Lower North Shore, known for building long-term relationships with both their clients and staff. An exciting opportunity has become available for an experienced Executive Assistant / Client Services Administrator to support two Directors while playing a key role in the smooth day-to-day running of the practice and ensuring a seamless client experience. 

This is far more than a traditional administration role. You will become the Partners right hand person.

This position has become available as the current Executive Assistant prepares for leave in early 2027. There will be a comprehensive handover before taking
ownership of the role.

Your Responsibilities

• Executive Assistant support to two Directors, manage busy inboxes, diaries, client correspondence, as well as coordinating meetings / appointments
• Prepare engagement letters and client documentation
• New client onboarding and setup
• ASIC company registrations and ongoing corporate compliance
• ABN, TFN and GST registrations
• You can access assistance from other admin members when required
• ATO lodgment, administration and monitoring deadlines
• Organise client documentation and maintain accurate records
• Liaise with clients, accountants and external stakeholders

About You:

• Has previous experience within an Australian accounting or professional services firm
• Has experience across EA/PA to partners
• Has experience with ASIC and ATO administration
• Has outstanding organisational skills and exceptional attention to detail
• Can confidently manage multiple priorities and competing deadlines
• Is proactive, switched on and highly organised
• Has excellent written and verbal communication skills
• Enjoys supporting senior professionals and building client relationships
• Works well both independently and as part of a collaborative team
• Experience using Xero Practice Manager, FYI Docs, Xero and CAS360 (or similar corporate compliance software) will be highly regarded.
