Senior Dental Receptionist / Practice Coordinator – Mandarin Speaking

About the role

Clear Dental is seeking an experienced, highly organised and personable Senior Dental Receptionist / Practice Coordinator to join our Sydney CBD practice. This role combines patient reception, team coordination and practice administration. You will work closely with dentists, dental assistants and management to ensure the clinic operates efficiently, the team is well organised and patients receive an excellent experience.

Key responsibilities

• Welcome patients and provide professional, friendly front-desk service
• Answer telephone, WeChat and online enquiries
• Manage appointments and maintain an efficient appointment book
• Confirm appointments and manage cancellations
• Process payments, HICAPS and health fund claims
• Communicate effectively with both English and Chinese-speaking patients
• Prepare and coordinate staff rosters
• Monitor dental and general clinic stock levels and coordinate routine stock ordering
• Monitor appointment-book utilisation and identify gaps in dentists' books
• Support dentists with efficient scheduling and ensure reception processes are consistently followed

About you

• Fluent in Mandarin Chinese and English
• Experienced in dental reception, preferably in a busy private dental practice
• Highly organised and reliable
• Confident coordinating other team members
• Excellent at communicating with both patients and clinicians
• Professional and presentable
• Able to identify problems and take initiative
• Comfortable handling multiple responsibilities simultaneously
• Detail-oriented with good administrative skills
• Experience with Dental4Windows, HICAPS and dental practice management systems highly regarded
