About the role

Based in Wacol, our Service Administrators play a critical role in keeping our operations running smoothly. Working closely with mechanics, suppliers and customers, you'll help coordinate service activities, manage documentation and keep jobs moving from start to finish. To support our customers and operations, this role is worked on a rotating roster that includes some weekend work. Rosters are planned in advance to support work-life balance.

What you’ll be doing

• Coordinate and assist with scheduling service work, repairs and maintenance activities
• Support diesel mechanics by ensuring job information, parts and equipment requirements are organised and available
• Liaise with suppliers, subcontractors and customers regarding service bookings, parts and job progress
• Raise purchase orders, order parts and assist with inventory administration
• Manage job documentation, data entry, invoicing support and job close-out processes
• Update and maintain work-in-progress (WIP) information and escalate any delays or issues as required
• Maintain accurate records and assist with reporting and administrative tasks
• Provide general administrative support to the workshop and branch team as required

About you

You might come from automotive, transport, manufacturing, hire, or logistics — what matters is your ability to coordinate, communicate, and keep things moving.

You’ll bring:

• Experience in a service coordination, scheduling or admin role
• Ability to manage multiple jobs, priorities and stakeholders at once
• Strong communication skills and a customer-first mindset
• A proactive, solution-focused approach
• High attention to detail and strong organisational skills
• Confidence working both independently and as part of a team
• Exposure to service, mechanical, or parts environments is highly regarded
• Willingness to work as part of a rotating roster, including some weekends
