Junior Accounts Payable- Webcost and System Specialist

The Administration Officer is responsible for managing and processing company credit card transactions, employee reimbursements, and WebCost administration. This role ensures compliance with company policies, accurate record-keeping, and timely processing of financial transactions to support operational efficiency.

Role Responsibilities

• Process and reconcile company credit card transactions.

• Ensure receipts and supporting documentation are collected and verified.

• Monitor compliance with company credit card policies.

• Ensure credit cards expenses are enter in time

• Review and process employee expense claims in accordance with policy.

• Validate supporting documentation and approvals.

• Ensure timely reimbursement to employees.

• Reconciliation of Accounts Payable accounts

• Maintain and update WebCost system data accurately.

• Assist with cost allocation and coding for projects and departments.

• Generate reports and provide support for cost analysis as required.

• Autoposting: Ensure timely autoposting of approved invoices and expenses.

• Adding Staff: Create and maintain staff profiles in WebCost for accurate cost allocation.

• Follow-up on Unposted Invoices

• Prepare daily COD payments reports

• Respond to queries related to credit cards, reimbursements, and WebCost.

• Liaise with Finance team and other departments to resolve discrepancies.

• Maintain accurate records and filing systems.

• General assistance to finance department as and when required.

• Need to assist other team members when required
