Primary objective
Provide event planning, coordination and delivery of the highest quality to the Regional Engagement Program (REP) team within the National
Critical Care and Trauma Response Centre (NCCTRC) to assist in facilitating efficient and effective delivery of a range of regional engagement
activities, service delivery and training. Project coordination of REP program activities to support the REP team.
Context statement
REP is a directorate of the NCCTRC, which aims to strengthen national health and emergency workforce responses across the Western Pacific
and Timor-Leste.
Key duties and responsibilities
1. Plan, coordinate and support delivery of REP training activities, including database management, international payments, travel coordination,
and event communications.
2. Collate and execute administrative tasks relating to activities including procurement, financial tasks, minute taking, correspondence, drafting
of Ministerials, records management and activity reports including those for Monitoring, Evaluation and Learning Framework (MELF).
3. Project coordination of other REP activities as required.
4. Liaise with prospective and established stakeholders throughout the region and internally with culturally appropriate insight and diplomacy
in collaboration with the REP team.
5. Travel to the Pacific and Timor-Leste is required to provide coordination support.
6. Support other NCCTRC program areas through cross-cultural liaison, events coordination, administration, finance, logistic activities and
represent the team at meetings including secretariat support as requested by executive.
7. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken to ensure high
quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated event, venue, training and/or project coordination experience demonstrating high level organisational skills, report writing,
preparing ministerial and executive correspondence.
2. Strong work ethic, ability to work independently and a part of a small team contribute to a positive organisational culture.
3. Strongly founded cross-cultural skills.
4. Proven customer service skills including sound oral and written communication skills and experience developing strong relationships with
stakeholders.
5. Proven ability to manage pressure, maintain flexibility, have a high level of motivation and experience dealing with complex and sensitive
matters, be an innovative thinker and uphold a high level of confidentiality.
6. Well-developed Information Technology (IT) skills including Microsoft applications.
7. Ability and willingness to work outside normal working hours including public holidays and weekends as and when required to support delivery
of activities.
8. Current Northern Territory driver’s license or ability to obtain.
Desirable
1. Certificate in Business Administration, Event Management, Project Management or similar or willingness to undertake training during
employment.
2. Understanding and knowledge of the core business of NCCTRC.
3. Knowledge of Northern Territory Government (NTG) systems including travel, procurement, finance, Territory Record Manager (TRM) and
Information Technology (IT).
