Administration Assistant – Smash Repairs

Swaggy’s Panel Shop is looking for an experienced Administration Assistant to join our friendly, family-run panel shop in Vermont.

This is an important role within our small team, and we are looking for someone who already understands the smash repair industry and can confidently manage the day-to-day administration of a busy workshop.

Previous iBody experience and smash repair industry experience are essential for this role.

About the Role

This is a part-time position working Tuesday to Thursday, approximately 20–24 hours per week, with some flexibility around start and finish times for the right person.

Your responsibilities will include:

• Managing and updating jobs in iBody
• Liaising with insurance companies and assessors
• Managing and following up third-party claims
• Liaising with solicitors and other legal representatives regarding third-party claims
• Following up outstanding insurance and third-party payments
• Preparing and sending invoices
• Booking vehicles in for repairs
• Answering phones and assisting customers
• Keeping customers updated on the progress of their repairs
• Following up outstanding information, approvals and documentation
• General emails and workshop administration
• Helping ensure jobs progress smoothly from booking through to completion and payment

What We Are Looking For

To be considered for this position, you must have:

• Previous iBody experience
• Previous experience working in a panel shop/smash repair environment
• Experience dealing directly with insurance companies and assessors
• Experience managing third-party claims and dealing with solicitors/legal representatives
• Experience following up outstanding payments and claims
• Strong administration and organisational skills
• Excellent attention to detail
• Confidence dealing with customers, insurers and legal representatives
• The ability to work independently and manage your own workload
• A proactive approach – you don't wait for someone to tell you that something needs following up

Pay: From $40,000.00 per year
