Join our Finance & Property team as an Executive Assistant, supporting senior leaders in a varied and rewarding 3-day-per-week role.
THE OPPORTUNITYWe're seeking a highly organised and proactive Executive Assistant to join our Finance & Property team in a temporary 12-month, 0.6 FTE (3 days per week) role based in Newcastle West.
This role will provide high-level support to the Directors of Finance and Property & Housing, along with the broader leadership team, coordinating executive priorities, managing confidential administration and supporting governance activities. Working closely with a range of internal and external stakeholders, you'll bring exceptional organisational skills, sound judgement and a collaborative approach to delivering high-quality support in a fast-paced environment.

POSITION DESCRIPTIONThe Executive Assistant provides high-level executive and administrative support to the Finance & Property leadership team to ensure the team is supported promptly and effectively.Work priorities are allocated and managed by the Executive Officer to support the operational requirements of the Finance & Property function.
The incumbent commits to working within Work Health and Safety guidelines and Code of Conduct at all times whilst in the employ of the Catholic Diocese of Maitland-Newcastle.
EXPERIENCE/CRITERIAStrong experience as an Executive or Personal Assistant within a corporate office environment.Capacity to self-direct and be responsive to supervision and general direction when it is required.Experience in reviewing and improving processes to improve the quality and efficiency of own output.Experience in facilities, construction, commercial property and or project Management. (Desirable, but not essential)Demonstrated high level of experience with MS Office suit of applications.Highly developed organisational skills: personal organisation and work organisation.Highly developed communication skills including written, verbal, interpersonal communication skills, and ability to influence and engage with others.Demonstrated decision-making and problem-solving skills and the ability to navigate conflicting demands and priorities.Demonstrated experience in coordination of meetings, preparation of written materials such as agendas and recording of minutes, and report preparation.Experience in using Facilities Maintenance software applications (Desirable, but not essential).Experience in using electronic records management systems (Desirable, but not essential)
QUALIFICATIONSBusiness Administration Diploma or Certificate IV and/or extensive experience in the sameor similar role.Property management (Desirable, but not essential)Project administration (Desirable, but not essential)Asset Management (Desirable, but not essential)
