Scheduler

About the role

This is a varied role combining reception and customer service with installation scheduling and coordination. You'll often be the first point of contact for customers calling Apollo Energy Solutions, so we're looking for someone who is confident on the phone, professional, approachable and genuinely enjoys helping people. Alongside reception duties, you'll coordinate our solar and battery installation calendar, communicate with customers and installers, and help make sure jobs are organised and ready to go. You'll work closely with our sales, operations, warehouse and installation teams, making you an important part of the day-to-day running of the business.

Key responsibilities

• Answer incoming office calls in a friendly and professional manner
• Be the first point of contact for customer enquiries and determine what customers need
• Take accurate messages and direct calls to the appropriate team member
• Handle general enquiries relating to installations, existing jobs and services
• Monitor and respond to general office emails and maintain accurate customer notes and records
• Coordinate and schedule solar and battery installations based on installer availability, location, job requirements and capacity
• Contact customers to arrange and confirm installation dates and reschedule jobs when required
• Review upcoming installations to ensure jobs are ready to proceed and check that required job information and documentation are available
• Coordinate with the warehouse and operations team regarding equipment and stock requirements
• Keep customers informed throughout the lead-up to their installation and manage customer concerns professionally

• Friendly, confident and professional on the phone
• Highly organised and good at keeping track of multiple tasks
• Strong communicator with excellent customer service skills
• Comfortable dealing with customers, tradespeople and internal staff
• Proactive and willing to take ownership rather than waiting to be told what to do
• Calm and adaptable when schedules change or unexpected problems arise
• Detail-oriented and accurate with customer and job information
• Comfortable using computers, email, calendars, CRM systems and scheduling software
• Reliable, punctual and able to work effectively as part of a team
• Previous experience in reception, administration, customer service, scheduling or coordination would be highly regarded
